People sync configuration field mappings

The Field Mapping tab populates with the default field mapping values that exist between UKG Pro and UKG Pro WFM. From the Field Mappings tab on the People Sync Configuration page, you view the current mappings and can make changes to how UKG Pro WFM fields associate (map) to UKG Pro fields.

Mappings include employee status, employee types, phone numbers, user defined fields (UDF), and custom fields. These field mappings correlate to those configured in the cross-reference (look up) table (CRT). Rather than update the CRT, you manage mappings from the Field Mapping tab. Mappings are either included in the sync by default or configurable from this page.

Note the following guidelines:
  • You can map a Birth Date, Seniority Date, and any other UKG Pro UDF to any custom field or Person-specific date field in UKG Pro WFM. You can also use a wildcard (*) for mapping for Employee Status Leave of Absence reasons.

  • You cannot change any mappings when the sync is running. Stop the sync before you make and save changes.

  • When you stop the sync, this pauses all updates in UKG Pro WFM for any additions or changes to synced data in UKG Pro. Therefore, when you start the sync again after making configuration changes, it is highly recommended that you run a full sync of all employee data to ensure there are no gaps in the data.

Review and update People sync field mappings

Review and update mappings for employee status, employee types, phone numbers, user defined fields (UDF), and custom fields.

Administration > Application Setup > Integrations Setup > People Sync Configurations

  1. On the People Sync Configurations page, click the Field Mapping tab.
  2. Expand the following sections to review the mappings: Employee status, Employee types, Phone numbers, Others & user defined. If the sync is currently running, all selections are read only.
  3. To make changes, click Stop Synchronization. For information about starting and stopping sync, see Start and stop synchronization.
  4. Review and update the field mappings as needed:
  • Employee status. Each UKG Pro status code maps to one UKG Pro WFM employment status and user account status. The Pro status codes are pre-populated from Pro.
    1. For each Pro status code (except for leave of absence), click the Pro WFM employment status and user account status drop-downs and select Active, Inactive, or Terminated.

    2. For L (leave of absence) codes, map one, many, or all UKG Pro reasons to the specified UKG Pro WFM employment and user account status:
      • Click the Pro reason drop-down and select a reason.

      • Accept the default wildcard character * to map any reasons in UKG Pro to one UKG Pro WFM status.

      • To map a subset of reasons, enter text followed by the wildcard character * to map any leave reason(s) starting with the text. For example, entering Med* maps any reasons starting with Med to the selected UKG Pro WFM status.

    3. Click Add to map additional user- and custom-defined fields.

  • Employee types. Each full or part time UKG Pro employee type can map to one UKG Pro WFM worker type. The employee types are pre-populated from Pro. For each employee type:
    1. Click the Full time/Part time drop-down and select the employment category.

    2. Click the Pro WFM worker type drop-down and select a type. The types available depend on your configuration. Each Pro employee type can map to one or more Pro WFM worker types. Select Unmapped (the default) if worker type mapping for a type is not needed.

    3. Click Add to map additional employee types.

  • Phone numbers. The Phone numbers section automatically populates with the available Pro phone types, including Cellular, FAX, Home, Work, and None. For each phone type:
    1. Click the Pro WFM phone type drop-down and select the appropriate type. The types available depend on your configuration. Select Unmapped for a type that is not needed.

    2. Select Use for SMS messages (unselected by default) for the phone types you want configured for short message service messaging (SMS).

  • Others & user defined. Allows you to map employee fields including Birthdate, Seniority date, worker type and so on, along with UKG Pro user-defined field (UDF) to any custom or person-specific date field in UKG Pro WFM.
    1. Click the Pro WFM field drop-down and select the appropriate field for the auto-populated Pro fields.

    2. If needed, click Add for each additional UKG Pro UDF you want to map to a Pro WFM custom field.

  1. Click Save.
  2. Click Start Synchronization to ensure your changes are included in the sync process. It is highly recommended that you run a full sync of all employee data to ensure there are no gaps in the data. See Start and stop synchronization.
