Brazil Device Setup

Important: Before you can configure Brazil Compliance, you must open a support case to enable the feature on your tenant. Once the feature is enabled, you can turn on the feature switch and configure your Brazil Device Setup.
Brazil Device Setup (BDS) enables organizations to set up a Brazilian data collection system to comply with Brazilian regulations that govern the use of electronic timekeeping systems. This feature is designed to meet the compliance requirements set by the Brazilian government.

BDS enables integration with third-party device REPs. Companies can be configured and then downloaded to REP devices and then employee punches can be imported from the configured devices. BDS also generates a compliance report and files as required by Brazilian law.

Brazil Device Setup includes configuring the following:

  • Pay Code Attribute Definitions— Pay Code Attribute Definitions are assigned to employees in People Information.
  • Devices— Devices are assigned to Device Groups.
  • Device Groups— A Device Group is assigned to a company, and can only be assigned to one company.
  • Companies— Companies are assigned to employees in People Information.

When these are configured, you can then add Brazil Compliance information to the relevant employee person records.

Brazil Device Setup configuration

Before you configure Brazil Device Setup, do the following:

  1. Enable the Brazil Compliance feature switch.
  2. Allow the following function access control points:
  3. Configure the following system settings:
    • site.timekeeping.brc.exportFile.aej.day.paycode.Duration
    • site.timekeeping.brc.exportFile.defaultReason
    • site.timekeeping.brc.exportFile.PTRPdeveloperEmail
    • site.timekeeping.brc.mirror.combinedPayCode.name

Companies

Use the Company page to enter company-specific information for Brazil Device Setup. Companies are assigned to employees in People Information.

Create a company

  1. Click Main Menu > Administration > Application Setup > Brazil Device Setup > Companies.
  2. On the Companies page, click Create .
  3. Enter the Company Name.
  4. Select the Identifier Type:
    • CNPJ— Corporate Taxpayer ID Number
    • CPF— Individual Taxpayer ID Number
      Note: CNPJ and CPF are the Portuguese abbreviations for the National Registry of Legal Entities and the Individual Tax Payer Registry.
  5. Enter the company Identifier.
  6. Enter a CEI. The CEI is a Specific Registration in the Brazilian Social Security Institute.
  7. Enter a Location.
  8. Select the appropriate Device Group. A device group can only be assigned to one company.
  9. For CAEPF, enter the name of the Register of Economic Activity of Individuals. CAEPF and CNO are the Portuguese abbreviations for the Register of Economic Activity of Individuals and the National Registry of Works.
  10. For CNO, enter the name of the National Registry of Works.
    Note: For Identifier, CAEPF, and CNO if the value entered is not the same as the maximum value of allowed characters, then zeros are appended to the value to reach the maximum. For example, the maximum amount of characters is 14 for CAEPF. If you add a value with 10 characters (such as CAEPFvalue) then this appears as 0000CAEPFvalue.

Brazil Device Groups

Device groups contain a set of devices that employees can use to punch. Devices can only be assigned to one device group.

Device groups are assigned to Companies. A device group can only be assigned to one company.

Create a Device Group

  1. Click Main Menu > Administration > Application Setup > Brazil Device Setup > Device Groups.
  2. Click Create .
  3. Enter the Device Group name.
  4. Enter a Description for the Device Group.
  5. Select the Devices to assign to the group. Only Devices that have not yet been assigned to a Device Group are available for selection.
  6. Click Save.

Brazil Devices

A Brazil device is the device an employee uses to punch. A device can be assigned to one Device Group.

Create a device

  1. Click Main Menu > Administration > Application Setup > Brazil Device Setup > Devices.
  2. Click Create .
  3. For Name, enter the device REP NUMBER that is assigned to the device by the manufacturer. The name of a device cannot be changed after it is saved.
  4. For IP Address, enter the corresponding IP Address for the device.
  5. For Location, enter the physical location of the device.
  6. Select the Active check box to indicate if the Brazilian device is active.
  7. Select the Timezone for the device.
  8. Certified is selected by default and indicates that the device (the timeclock) has been certified for use in Brazil. This option can be deselected if the timeclock is not certified.
  9. Click Save.

Pay Code Attribute Definition

Pay Code Attributes are used to translate specific pay codes into a common Brazil pay code where custom processing is applied for reports.

Pay Code Attributes are assigned to employees in People Information.

Create a pay code attribute definition

  1. Click Main Menu > Administration > Application Setup > Brazil Device Setup > Pay Code Attribute Definition.
  2. Click Create .
  3. Enter a Name for the Pay Code Attribute Definition.
  4. Optionally, enter a Description.
  5. For Default, select Yes or No.
  6. Click Create to add Brazilian Attribute Mappings. The five export keys are BOH Credit, BOH Debit, Absence, DSR and Holiday. All five export mappings are required. In the Create Brazilian Attribute Mapping dialog, select the:
    • Export Key— Select an export key. This is the key attribute used to group the specific pay codes related to that key.
    • Pay Code— Select a pay code. The pay code can be an individual pay code (standard hours or days), or a combined pay code (hours or days). This pay code is what gets translated for the selected export key.
    • Multiplier— Enter a multiplier value that is applied to the amount from the pay code in the Export Key.
  7. Click Save.
