Manager - Common Setup ACPs

These access control points control access to product configuration functions.

Hyperfind

This is the parent ACP for Hyperfind access. Select Allowed for all, or one or more tasks. If you do not allow all tasks, the access scope becomes Various.

  • Query conditions — If Allowed, managers can use the conditions in the following categories to filter information retrieved in Hyperfind queries. You can allow access to one or more categories.
    • Display Business Structure & Job Information in Hyperfind — If Allowed, managers can select business structures and job information as conditions.
    • General Information category — If Allowed, managers can select conditions in the General Information category. General Information conditions include Name or ID, Primary Job, and Primary Account.
    • Timekeeper category — If Allowed, managers can select conditions in the Timekeeper category. Conditions include Hire Date, Pay Rules, and Badge Numbers.
    • Time Management category — If Allowed, managers can select conditions in the Time Management category. Time Management conditions include Worked Jobs, Worked Accounts, Worked Paycode, and Exceptions.
    • Biometric category — If Allowed, managers can select conditions in the Biometrics category. Biometrics conditions include Biometric Employee, Enrollment Location, and Verification Threshold.
    • Scheduler category — If Allowed, managers can select conditions in the Scheduler category. Scheduler conditions include Schedule Groups, Scheduled Jobs, and Scheduled Accounts.
    • Advanced Scheduler category — If Allowed, managers can select conditions in the Advanced Scheduler category. Advanced Scheduler conditions include Skills and Certifications.
    • Leave Management category — If Allowed, managers can select conditions in the Leave category.
    • User Information category — If Allowed, managers can select conditions in the User Information category. User Information conditions include Username and Function Access Profile.
    • Role - Timekeeper category — If Allowed, managers can select conditions in the Role - Timekeeper category. Role - Timekeeper conditions include Employee Groups and Work Rule Profiles.
    • Workforce Leave category — If Allowed, managers can select conditions in the Leave category. Leave conditions include Leave Case Status, Leave Frequency, and Hours on Leave.
    • Business Processes — If Allowed managers can select conditions in Business Processes. Business Process conditions include Profiles and Reports To.
    • TeleTime IP category — If Allowed, managers can select conditions in the TeleTime IP category.
    • Attendance category — If Allowed, managers can select conditions in the Attendance category. Attendance conditions include Actions, Discipline Levels, and Perfect Attendance.
    • One View Category — If Allowed, managers can select conditions in the One View category. The One View Integration feature switch must be enabled to use this access control point.
  • Query tabs — If Allowed, managers can use the Assemble Query and View SQL query tabs.
    • Assemble Query tab — If Allowed, managers can use the Assemble Query tab.
  • Query visibility — This is the parent ACP for Query visibility. Select Allowed for all, or portions of one or more. If all are not Allowed, the access scope becomes Various.
    • Ad hoc queries — If Allowed, managers can edit ad hoc queries.
    • Personal queries — If Allowed, managers can edit and/or delete personal queries.
    • Public queries — If Allowed, managers can edit and/or delete public queries.

People Editor

This is the parent ACP for People Information setup functions. You can select None, All But Self, or Allowed, depending on the function.

  • Person — Specifies whether managers can add a person and/or edit a person’s information, including themselves. If All But Self, managers can edit information for all employees but themselves. If None, managers cannot edit information.
  • Delete — If All But Self, managers can delete Person information for all employees except themselves. You must select All But Self to enable managers to perform the following functions:
    • Delete without transactions — If Allowed, managers can delete a person who has no transaction data.
    • Delete with transactions — If Allowed, managers can delete a person who has transaction data. The Delete with transactions access control point includes deleting without transactions. If a user only has Delete with transactions allowed they can also delete people that do not have transactions.
      Note:

      The global system setting global.peopleproperties.person.deleteflag must be enabled to delete a person. See Global Values System Settings. The Delete without transactions and Delete with transactions access control points are only considered when the system setting is enabled. If the system setting is not enabled, then the Delete option is not available on the Person menu in People Information even if the user has the access control points set to allowed.

      Note:

      If an employee leaves an organization and legal regulations allow — such as under the Right to be Forgotten principles of the General Data Protection Regulation (GDPR) — the employee can request that all of their data be removed. To enact this deletion, do the following:

      • Enable the global.peopleproperties.person.deleteflag system setting.

      • Set the Delete with transactions access control point to Allowed.

      • Delete the employee's person data from People Information.

  • License view — If Allowed, managers can select the Licenses icon to add or delete licenses, or both.
  • Employee Group
  • Information view — If Allowed, managers can access the General Information workspace in People Information, and add or view the following fields:
    • Birth date
    • Person name
    • Person ID
    • Hire date
    • Employment status
    Access user account — If Allowed, managers can add and/or view the Username and other fields associated with employees’ user accounts.
    • User name
    • Other fields
    • User account status — If Allowed, managers can select an employee’s user account status.
    • Lock out access control — If Allowed, managers to manually lock a user out of the system, or unlock a user who has been locked out of the system.
    • MFA required — In Access Scope, select Allowed to allow a manager or administrator to override multi-factor authentication (MFA) in People Information for an employee-role user account.

      MFA is required for manager-role user accounts. You cannot turn off MFA for these accounts.

    • API-only user — In Access Scope, select Allowed to allow the manager or administrator to set a user account as an API-only user account. This type of user account is for system-to-system API calls — such as for integrations — and the account supports only API calls; you cannot use it to log in from a browser or mobile app.

    Archive access control — If Allowed, managers can allow employees to access the Archive database. Employees can then check archived data, which might no longer be present on the Production database. Record Manager (WRM) creates the Archive database when it processes a Copy All or Archive from one database to another. By default, only ArchiveIS, SuperUser, and some other System users have access to the Archive database.

    Global ID — If Allowed, managers can enter the employee's global ID that is used for integration with UKG One View. The One View Integration feature switch must be enabled to use this ACP.

    Employment Name — If Allowed, managers can enter the employment name in People Information for employees that are configured for multiple employments.

    Contact Information view — If Allowed, managers can add and view information in the Contacts workspace:
    • Address
    • E-mail
    • Telephone
    • Generic workflows

    Additional Information view — If Allowed, managers can add and/or view additional information.

    Person’s Dates View — If Allowed, managers can add and/or view employees’ dates.

    Assign process profiles — If Allowed, managers can add and/or view a process profile, which enables the use of Actions or My Actions (for example, time-off requests), based on the process templates that are in the profile.

    Access Profiles view — If Allowed, managers can assign and/or view profiles in the Access Profiles workspace. These profiles include: Function Access Profile, Display Profile, Locale Policy, Notification Profile, Delegate Profile and Generic Data Access Profile.

  • Devices Group
    • TeleTime IP view — If Allowed, managers can access an employee's TeleTime IP configuration in People Information.
  • Timekeeping Group

    • Approvals & Reviewers view — If Allowed, managers can access Approvals and Reviewers information.
    • Timekeeper view — If Allowed, managers can or view Timekeeping information, including: worker type standard hours, pay rule and effective date, wage profile, device group, currency, base wage and effective date, badge number, and start and end dates.

      Percent Allocation Assignment

      Adjustment Rule Assignment

      Personal Overtime view — If Allowed, managers can add, edit, delete, or view the Personal Overtime workspace. If Allowed, managers can select, edit, delete, or view the unique overtime rules that override the rules associated with an employee's pay rule or work rule.

      Employee Self Service view — If Allowed, managers can access the Employee self service option in the Job Assignment tab of People Information.

      Employment Terms view — If Allowed, managers can assign, edit, delete, and view employment terms. Employment terms contain pay rules, accrual profiles, cascading profiles, holiday profiles, duration profiles, and working hours definitions.

      Assigned currency — If Allowed, managers can edit the currency assignment of a person.

    • Manager Role - General view — If Allowed, managers can add, edit, or view information in the Manager Role - General workspace.
    • Employee Role view
    • Job Preference and Scheduling Context — Control access to employees' job preference information in People Information.

      Managers must also have at least View access for the Employee Job Transfer Set ACP to view the Job Preference and Scheduling Context table.

    • Employee Job Transfer Set — Controls Add, Edit, Delete, and View access for the Employee Job Transfer Set in People Information. The default value for all options is Disallowed. The Employee Job Transfer Set Access feature switch must be enabled to have access to this ACP.

      The parent Access Control Points (ACP) for Employee Job Transfer Set are Employee Role View (for single assignment employees) and Assignments – General View (for multiple assignment employees). The parent ACPs must be enabled to use the Employee Job Transfer Set FACP.

      Note: For multiple assignment employees, the parent Access Control Point (ACP) for Employee Job Transfer Set is Assignments – General View. This parent ACP must be enabled to use the Employee Job Transfer Set ACP with multiple assignment employees. Additionally, if the parent ACP (Assignments – General View) has View permission but not Add permission, then regardless of the settings for the Employee Job Transfer Set ACP the manager will not be able to make changes (create, edit, delete) to the Employee Job Transfer Set.
    • One View — If Allowed, managers can view the One View section in People Information and enter Pay Group and Pay Type information for employees. This information is used with UKG One View integration. The One View Integration feature switch must be enabled to use this ACP.
  • Scheduling Group
    • Scheduler view — If Allowed, managers can add or edit the information in the Scheduler workspace, including:
      • Group Assignment and start and end dates
      • Schedule Rule Set and effective date
      • Preferred Zone Category
      • Preferred Zone
      • Minors, including Minor Rule Set, School Calendar, and Emancipated Minor
    • Manager Role - Schedule view — If Allowed, managers can assign or view profiles in the Manager Role - Schedule workspace, including:
      • Schedule Group Profile
      • Shift Template Profile
      • Pattern Template Profile
      • Availability Template Profile
      • School Calendar Profile
      • Forecasting Category Profile
      • Hyperfind Schedule Visibility Profile
    • Skills & Certification view — If Allowed, managers access employees’ skill certificate information. You can allow, one, several, or all of the following:
      • Skills on a person — If Allowed, managers can add, edit, delete, and/or view a person’s skills.
      • Certifications on a person — If Allowed, managers can add, edit, delete, and/or view a person’s certifications.
    • Schedule Rule Overrides — If Allowed, managers can access the Schedule Rule Overrides workspace to override schedule rules and values and select a Schedule Rule Set Optimization Override. For more information, see the Scheduler online Help.
    • Employee Preferences
  • Activities Group — Controls access to the Activities tab in People Information.
    • Activities — Controls access to the Activity View in People Information.
    • Defaults — Controls access to the Defaults View in People Information.
  • Accruals Group — If Allowed, managers can manage certain accrual information, such as accrual profiles and full-time equivalency.
    • Accrual profile — If Allowed, managers can select and/or view a person’s accrual profile.
    • Full-Time equivalency — If Allowed, managers can specify and/or view a person’s full-time equivalency.
  • Leave Group
    • Leave Management — If Allowed, managers can select and/or view a person’s Leave Administrator and Leave Profile. The manager must also have a Leave license to select the Leave options. The employee (or person) must also have a Leave license.
  • Attendance Group
    • Attendance view — If Allowed, managers can assign and/or view profile information in the Attendance workspace, including Attendance Administrator, Attendance profile, and effective dates.
  • Assignments Group
    • Assignments - General view — If Allowed, managers can add and edit assignments for multiple assignment employees.

Organizational Set Editor

If Allowed, managers can add, edit, delete, and/or view organizational sets in Organization Sets setup.

Jobs and Business Structure

If Allowed, managers can use the Jobs and Business Structure setup. You can allow one or both of the following:

  • Location Types Tab— If Allowed, managers can use the Location Types tab in the Jobs and Business Structure setup.
  • Job & Business Structure Setup Tabs— If Allowed, managers can use the remaining tabs in the Jobs and Business Structure Setup.

Worker Type

If Allowed, managers can add, edit, delete, and/or view worker types in Common Setup. You can allow one or more, or all of the tasks.

Event Manager

This is the parent ACP for Event Manager functions. Select Allowed for one or more, or all functions.

  • Add batch event— If Allowed, the Batch Command field that is needed to add a Batch Event is available in the Event Manager.
  • Change user— If Allowed, the Username field, which is needed to change the user associated with an event, is available in the Event Manager. Username access is necessary in the following situations:
    • System managers who schedule reports for a department manager, and only want that department manager’s employees (Employee Group) to appear on the report, should schedule that report with the department manager’s Username.
    • System managers who schedule a people import can use the “Import” …Username to override their own Employee Group selection of records during import, and thereby improve People Import performance.
  • Individual events— If Allowed, employees can see all events, only their own, or none, in the Event Manager. If you select Allowed for Event Manager, this setting is automatically All.

Table Import

This is the parent ACP for table import functions. Allow one or more, or all of the following:

  • Create and run table import batches— If Allowed, managers can create and run table import batches.
  • Delete table import data— If Allowed, managers can delete import data from tables in a batch.
  • Schedule table import batches— If Allowed, managers can schedule table import batches. The Add batch event ACP in Event Manager must also be Allowed.
  • Stop/restart table import batches— If Allowed, managers can stop and restart table import batches.

Transaction Assistant

If Allowed, managers can edit, delete, view, or resubmit failed integrations in the Transaction Assistant. For details, see Configure Access to Integrations > Configure the FAP for integrations and Transaction Assistant.

MobileTime

  • Access to MobileTime Gatekeeper

Biometrics

The parent ACP for Biometric information.

  • Access to Biometrics Administration— If Allowed, managers can access Biometric Administration.

Schedule Configuration

This is the parent ACP for Schedule Configuration.

  • Skills & Certifications— If Allowed, managers can use the Skills & Certification editors. You can allow all or one or more of the functions
    • Certifications— If Allowed, managers can add, edit, delete, and/or view certifications. You can allow all, or one or more of the functions.
    • Skills— If Allowed, managers can add, edit, delete, and/or view skills. You can allow all, or one or more of the functions.
  • Workload Setup— This is the parent ACP for Workload Setup functions, if Allowed, managers can access one or more of the following functions:
    • Schedule Zone Sets— If Allowed, managers can add, edit, delete, and/or view schedule zone sets. You can allow all, or one or more of the functions.
    • Workload Shift Sets— If Allowed, managers can add. edit, delete, and/or view staffing shift sets. You can allow all, or one or more of the functions.
    • Workload Planner Profiles— If Allowed, managers can add, edit, delete, and/or view staff planner profiles.
  • Pattern Templates Configuration— If Allowed managers can add, edit, and/or delete pattern templates.
  • Schedule Period Configuration— If Allowed, managers can add and/or delete schedule periods.
  • Shift Template Configuration— If Allowed, managers can add, edit, and/or delete shift templates.
  • Schedule Groups Configuration— If Allowed, managers can create and delete schedule groups and edit group names.
  • Sorting and Matching— If Allowed, managers can edit and/or view the order of tasks created during sorting and matching.
  • View Audit Trails in Priority Scheduling Engine— If Allowed, employees can audit the actions of the Priority Scheduling Engine for selected employees. For configuration users, Sorting and Matching must also be allowed. For all users, Run Priority Scheduling Engine must be allowed in Manager - Department Manager > Scheduling.
  • Location Settings— If Allowed, managers can edit and/or view location profiles and associated location information.
  • Metrics Setup— If Allowed, managers can access Metrics setup information.
  • Job Groups Configuration— If Allowed, managers can edit and/or view job group configurations.
  • Staffing Matrix Configuration— If Allowed, managers can edit and/or view staffing matrix configurations.
  • Weight Set Configuration— If Allowed, managers can edit and/or view weight set configurations.
  • Day Type Configuration— If Allowed, managers can edit or display day type rules and rule sets.
  • Schedule Planner Setup
  • Scheduler Profiles— If Allowed, managers can access Scheduler profiles.
    • School Calendar Profiles— If Allowed, managers can edit and/or view School Calender profiles.

Hyperfind Profiles

If allowed, managers can create and assign Hyperfind profiles.

Process Management setup

If Allowed, managers can access set up tasks for Process Manager. This is the parent ACP for these tasks.

  • Process Administration Access— If Allowed, managers can use the Process Administrator.
  • Add templates to process profiles— If Allowed, managers can add, edit, delete, and/or view templates in process profiles.
  • Business Processes— If Allowed, managers can create and modify business processes.
  • Web Service Configuration access— If Allowed, managers can configure and add a web services task to a process template, and then, if allowed, deploy and activate the template.
  • Create New Process Models— If Allowed, managers can create process models with Activiti.
  • Process Models— If Allowed, managers can access the list of process models but cannot access Activiti.
  • Deploy Process Models— If Allowed, managers can deploy process models.

Calendar Views Setup

If Allowed, managers can access Calendar Views setup functions.

Delegate Profiles

If Allowed, managers can access Delegate Profile functions.

Override Alert Event Configuration

If Allowed, managers can suppress notifications from being sent after they configure an event.

Role Profiles

If Allowed, managers can access Role Profile functions.

Integrations

The integrations settings allow access to monitor, run, schedule, and install data integrations with other systems. For details, see Configure Access to Integrations > Configure the FAP for integrations and Transaction Assistant.

Data Import Tool

Data Import Tool: Select Allowed in Access Scope to allow access to the predefined templates to import configuration, employee, and other data.

Workforce Attendance Setup

If Allowed, managers can access Attendance setup and perform configuration tasks.

Workforce Leave Setup

If Allowed, managers can access Leave setup and perform Leave configuration tasks.

Dataview Management

If allowed, managers can add, edit, or delete Dataviews.

Ability to Disable Column Relationship Rules

If allowed, managers can see and use the Column Relationship Rules option when creating a Dataview or report data object (RDO).

Note: The Ability to Disable Column Relationship Rules feature switch must be enabled to use this access control point.

If Allowed, users can access the reviewer lists and purposes.

Hours of Operation

Create Regular Hours— If Allowed, managers can edit and view regular hours of operation.

Assign Hours of Operation— If Allowed, managers can edit and view the assignment of regular hours of operation to the business structure.

Create Override Hours— If Allowed, managers can edit and view override hours of operation.

Unrestrict the edit of Hours of Operation— If Allowed, managers can lift restrictions on the editing of hours of operation.

Unrestrict the edit of Override Hours of Operation— If Allowed, managers can lift restrictions on the editing of override hours of operation.

Known Places

If Allowed, managers can access setup for Known Places, which are used for geosensing and geofencing in mobile. A Known Place is defined as a GPS position with a punch radius (for geofencing) contained inside a context radius (for geosensing).

Forecast Configuration

This is the parent ACP for Forecast Configuration. If Allowed, configuration managers can access, add, edit, delete, and view as per the individual permissions granted by functionality.

Forecast Category Attributes— If Edit is Allowed, managers can add, edit, delete, or view the functionality. If View is Allowed, managers can view the functionality.

Machine Learning— If Edit is Allowed, managers can add, edit, delete, or view the functionality. If View is Allowed, managers can view the functionality.

Category Property Sets— This is the parent ACP for Category Property Sets. If Access is Allowed, managers can add, edit, delete, or view the functionality as per the individual permissions granted by functionality.

  • Create Category Property Sets— If Allowed, managers can create, and/or edit, and/or delete, and/or view category property sets.
  • Assign Category Property Sets— If Edit is Allowed, managers can add, edit, delete, or view category property set assignments. If View is Allowed, managers can view category property set assignments.

Volume Drivers— This is the parent ACP for Volume Drivers. If Access is Allowed, managers can add, edit, delete, or view volume drivers as per the individual permissions granted by functionality.

  • Create Volume Drivers— If Allowed, managers can create, and/or edit, and/or delete, and/or view volume drivers.
  • Assign Volume Drivers— If Edit is Allowed, managers can add, edit, delete, or view volume driver assignments. If View is Allowed, managers can view volume driver assignments.

Labor Drivers— This is the parent ACP for Labor Drivers. If Access is Allowed, managers can add, edit, delete, or view the labor drivers as per the individual permissions granted by functionality.

  • Create Labor Drivers— If Edit is Allowed, managers can add, edit, delete, or view labor drivers. If View is Allowed, managers can view labor drivers.
  • Create Static Drivers— If Edit is Allowed, managers can add, edit, delete, or view static drivers. If View is Allowed, managers can view static drivers.
  • Assign Static Drivers— If Edit is Allowed, managers can add, edit, delete, or view static driver assignments. If View is Allowed, managers can view static driver assignments.

Adjustment Drivers— If Access is Allowed, managers can edit and view adjustment drivers.

Special Events— This is the parent ACP for Special Events. If Access is Allowed, managers can add, edit, delete, or view special events as per the individual permissions granted by functionality.

  • Create Special Events— If Allowed, managers can add, and/or edit, and/or delete, and/or view special events.
  • Assign Special Events— If Edit is Allowed, managers can add, edit, delete, or view special event assignments. If View is Allowed, managers can view special event assignments.

Labor Standards— If Edit is Allowed, managers can add, edit, delete, or view labor standards. If View is Allowed, managers can view labor standards.

Labor Standard Components—This is the parent ACP for Labor Standard Components. If Access is Allowed, managers can add, edit, delete, or view labor standard components as per the individual permissions granted by functionality.

  • Store Specific Labor Standards— If View is Allowed, managers can view store specific labor standards. If Add or Edit is allowed, managers can add or edit Store Specific Labor Standards. To change a Store Specific Labor Standard to a Generic Labor Standard, you must set Store Specific Labor Standard > Edit to Allowed and Generic Labor Standards > Add to Allowed.
  • Generic Labor Standards— If View is Allowed, managers can view generic labor standards. If Add or Edit is allowed, managers can add or edit Generic Labor Standards. To change a Generic Labor Standard to a Store Specific Labor Standard, you must set Generic Labor Standard > Edit to Allowed and Store Specific Labor Standards > Add to Allowed.
    Note: When setting the Add, Edit or View privileges to Disallowed (restricting a user from making any modifications to a Generic Labor Standard), the system setting, site.forecasting.labor.standard.components.acp.enabled, must be set to true to enable these permissions to function correctly.
  • Labor Standard fields—This is the parent ACP for Labor Standard fields. If Access is Allowed, managers can add, edit, delete, or view the information in the fields as per the individual permissions granted by functionality.
    • Name and Description— If Edit is Allowed, managers can add, edit, delete, or view the information in the field.
    • Store Type— If Edit is Allowed, managers can add, edit, delete, or view information in the field.
    • Effective Dates— If Edit is Allowed, managers can add, edit, delete, or view information in the field.
    • Labor Driver— If Edit is Allowed, managers can add, edit, delete, or view information in the field.
    • Time value— This is the parent ACP for Time values. If Access is Allowed, managers can add, edit, delete, or view the time value as per the individual permissions granted by functionality.
      • Fixed Time value — If Edit is Allowed, managers can add, edit, delete, or view information in the field.

        Negative Fixed Time Value for Fixed Time value — If Edit is Allowed, managers can add, edit, or delete, negative values.

      • Scaled Time value — This is the parent ACP for Scaled Time values. If Access is Allowed, managers can add, edit, delete, or view the functionality as per the individual permissions granted by functionality.

        Volume Data for Scaled Time value — If Edit is Allowed, managers can add, edit, delete, or view information in the field.

        Time Scale for Scaled Time value — If Edit is Allowed, managers can add, edit, delete, or view information in the field.

        Negative Scaled Time Value for Scaled Time value — If Edit is Allowed, managers can add, edit, or delete, negative values.

    • Labor Period— This is the parent ACP for Labor Period. If Access is Allowed, managers can add, edit, delete, or view Labor Period as per the individual permissions granted by functionality.
      • Labor Period Hours— If Edit is Allowed, managers can add, edit, delete, or view labor period hours.
      • Traffic Pattern for Labor Period— This is the parent ACP for Traffic Pattern for Labor Period. If Access is Allowed, managers can add, edit, delete, or view the traffic pattern Labor Distribution for Labor Period in a Labor Standard as per the individual permissions granted by functionality.

        - Traffic Pattern Distribute Evenly for Labor Period— If Edit is Allowed, managers can add, edit, delete, or view this information the Labor Distribution Distribute Evenly for Labor Period in a Labor Standard.

Brazil Compliance

This is the parent ACP for Brazil Compliance setup and reporting.

  • Setup Items— If allowed, managers can access the Brazil Device Setup configuration items in Application Setup.
  • People Record Configuration— If allowed, managers can access the Timekeeping > Brazil Compliance group in People Information.
  • Retrieve Decrypted PII Data Values via API— If allowed, managers have access to decrypted Personal Identifiable Information (PII) data values retrieved from the people record via the API. Decrypted values are available for view only in specific locations, such as certain reports.
    Note: PII values (for example, PIS, eSocial, and CPF) are always encrypted in People Information regardless of the setting of this ACP.
  • Digitally Sign Brazil Reports— Controls the ability for managers to generate digitally signed Brazil Compliance Reports (PAdES, CAdES).
