People Sync Configuration

For UKG Pro and UKG Pro Workforce Management suite customers, UKG One Stream people sync allows direct synchronization of employee data from UKG Pro HCM to UKG Pro WFM.

After the initial data sync, an event-based auto-sync maintains UKG Pro to UKG Pro WFM data associations in near real time. To monitor the status of the people sync, see People Sync Monitoring - Synchronization Dashboard.

UKG Pro suite administrators review, configure, start, stop, and manage People data synchronization properties and field mappings from the People Sync Configurations page, organized by the actions you can take:

  • Configuration Overview. Shows the details of how the Pro HCM fields are currently mapped to UKG Pro WFM, including the field values and their locations in both solutions. Review all current configurations or search for a specific field name. See People Sync Configuration Overview.

  • Synchronization Properties. Configure process properties that manage your People sync integration. These general process properties apply globally to all data that the integration processes. See People Sync Configuration Synchronization Properties.

  • Field Mapping. View and change how UKG Pro WFM field values map to UKG Pro fields. Mapping values include employee status, employee types, phone numbers, user defined fields (UDF), and custom fields. See People Sync Configuration Field Mappings.

  • Start Synchronization. Start and stop the People data synchronization from any tab on the People Sync Configurations page.

Note: After UKG Pro data is synced with UKG Pro WFM, UKG Pro will be the system-of-record for that data. You cannot add, update, and delete values in UKG Pro WFM that are synced with UKG Pro. When changes are made to data in UKG Pro, they will be automatically synced and updated in near real time in UKG Pro WFM. When you update the general configuration properties and field mappings from the People Sync Configuration page, run a full re-sync of all employee records.

How One Stream People sync relates to your business structure

One Stream sync supports these business structure integrations between your UKG Pro and Pro WFM environments.

  • Shared (full) business structure with One Stream synchronizes data including person, org levels, job codes, and labor categories between UKG Pro and UKG Pro WFM services using a hierarchical structure rather than a flat (simplified) organizational structure.

  • Simplified business structure (SBS) with One Stream synchronizes organization data such as org levels, job codes, and labor categories between UKG Pro and UKG Pro WFM services using a flat organizational structure rather than a shared hierarchical (full) structure.

Note: During synchronization, if a business structure path does not exist, depending on the business structure configuration in UKG Pro, it will either be automatically created and added to UKG Pro WFM or held for review by a UKG Pro admin and either approved or rejected. If rejected, the admin can select another path for sync.

People sync prerequisites

These actions must be completed before the One Stream People sync configuration menu and pages are available.

  • In UKG Pro, the business structure configuration and the initial business structure synchronization.

  • In UKG Pro WFM:

    • The People sync integration.

    • The One Stream feature switch enabled.

    • The following access control points (ACPs) are set to Allowed in the Function Access Profiles (FAPs) assigned to users:

      • One Stream People Sync Configuration

      • One Stream People Sync Monitoring.
