Configure Shift Profile Sets
Group shift profiles into shift profile sets
- Select Administration > Application Setup > Scheduler Setup > Shift Profile Sets.
- Create, edit, or activate a shift profile set.
- Click New.
- Select a profile set to copy. Click Duplicate.
- Select a profile set to change. Click Edit.
- Select a deactivated profile set. Click Activate. Click Save.
- Select an active profile set. Click Inactivate. Click Save.
- Select a profile set to remove. You cannot delete a shift profile set that is assigned to an employee. Click Delete. Click Yes to confirm.
- Enter a Name.
- (Optional) Enter a Description.
- Important: Only if the Schedule Generator uses shift profile sets to generate open shifts:
- Enter a Relative Part from 0 to 100.
Relative parts define the minimum percentage of generated shifts that conform to a shift profile set. The Schedule Generator can generate more shifts for this shift profile set, but not fewer.
Example: To generate the same number of shifts that are 4-hours, 8-hours, and 12-hours long, set the relative parts to 33 for each length of shift.
Important: The sum of relative parts of all shift profile sets that a Schedule Generator setting uses must not exceed 100. If multiple shift profile sets share a shift span, a sum greater than 100 can change the effect of each shift profile set. The results from the Schedule Generator become inaccurate. Example: Shift Profile Set 1 defines shifts 4 to 8 hours long, and Shift Profile Set 2 defines shifts 7 to 9 hours long. Eight-hour shifts can be based on either shift profile set. If the relative part values are Shift Profile Set 1 = 80 and Shift Profile Set 2 = 40, the relative part sum = 120. The Schedule Generator subtracts the excess of 20 evenly from the shift profile sets. So, the effective values become: Shift Profile Set 1 = 80 – (20/2) = 70; Shift Profile Set 2 = 40 – (20/2) = 30. These values differ from the original values of 80 and 40.Tip: If Relative Part = 0, the Schedule Generator chooses any of the proposed shift profile sets. Example: Shift Profile Set 1 = 20, Shift Profile Set 2 = 50, and Shift Profile Set 3 = 0. The Schedule Generator generates a minimum of 20% of the open shifts based on Shift Profile Set 1. It generates a minimum of 50% of the open shifts based on Shift Profile Set 2. The Schedule Generator generates the remaining open shifts based on any of Shift Profile Sets 1, 2, or 3. - In the Schedule Generator settings:
- Select .
- Enter a Name.
- In Shift Template Profile To Use, select Ignore and Use Shift Profile Sets.
- In Shift Profile Sets for Open Shifts, select this shift profile set.
- Click Save & Return.
- Click Assign to Location.
- Enter a Relative Part from 0 to 100.
- Select the Profiles tab:
- Select a shift profile.
- Select the days of the week to which this shift profile applies.
- To add another shift profile, click Insert a new row
. Repeat.
- Use shift overrides to allow a group of employees exceptions to shifts in the shift profile set.
- Select the Overrides tab.
- Select a shift profile.
- Select the date to apply the override.
- To add another override, click Insert a new row
. Repeat.
- Click Save & Return.
Which shift profile set is used?
An employee can be assigned multiple shift profile sets; the system resolves which shift profile set to apply to a shift as follows:
- If the employee's People record overrides their shift profile set, use the overriding shift profile set.
- If
all of the following are true, use the shift profile set that is defined in the employee rule set > Shift Conforms to Shift Profile Set option:
- The employee is assigned to an employee rule set.
- The employee rule set has a shift profile set selected in Shift Conforms to Shift Profile Set.
- The severity is Informational, Warning, or No Save (but not Not Considered).
- Use Shift Profile Set from Location Profile is not selected.
- If
all of the following are true, use the shift profile set in the employee’s location profile:
- The employee is assigned to an employee rule set.
- Use Shift Profile Set from Location Profile is selected.
- Regardless of the setting of Use Shift Profile Set from Location Profile, the shift boundary parameters come from the employee rule set, not the location profile.
- Otherwise, use no shift profile set.
Assign shift profile sets to employees
- Add a shift profile set to a schedule rule set:
- Select .
- Either:
- Click New. Enter a Name.
- Select a schedule rule set to add a shift profile set. Click Edit.
- Select the Shift tab.
- In Shifts Conform to Shift Profile Sets:
- Select the Severity of violations of this rule.
- In Parameter, select the shift profile set.
- (Optional) Select Use Shift Profile Set from Location Profile.
Regardless of this setting, the shift boundary parameters come from the employee rule set, not the location profile.
If the selected shift profile set is not assigned to a location profile, it is ignored.
Only the Auto-Scheduler accounts for this option.
- Click Save.
- Repeat for the next shift profile set.
- From People Information, assign a schedule rule set to employees:
- Select the employees.
- Click Go To > People.
- Select .
- Select the Schedule Rule Set.
- Select the Effective Date when the schedule rule set and the shift profile set become effective.
- To add another schedule rule set, click Add Row. Repeat for the next shift profile set.
- Click Save.
- (Optional) From People Information, override an employee’s shift profile set:
- Select the employee.
- Click Go To > People.
- Select .
- Select .
- Select the Shift Profile Sets to override.
- Enter the Effective Date to start the override.
- Enter the Expiration Date to end the override.
- Click Save.
