How to use the Punch tile, including Attestation questions

The Punch tile is a simple punch interface displayed on your Home page. Depending on how your Punch tile is configured, you can:

  • Record in-punches and out-punches
  • Cancel meal or break deductions
  • Start a new shift
  • Transfer time to another job, labor category, or work rule
Note: Access to the Punch tile depends on the employee's time entry method. For more information, see Time Entry Method in the Employee Role section of the Timekeeping topic in the online help.

Punch tile fields and behavior

The Punch tile experience can vary based on these factors:

  • Access rights. Depending on the Function Access Control Points (FACP) that make up your assigned Function Access Profile (FAP), you might be able to make job, labor category, or work rule transfers, and to cancel meal or break deductions as part of the punch. Your FACP also controls whether or not you are able to select your assignment when punching, and whether or not the Punch tile displays a QR code you can use to create a punch.
  • Attestation buttons. Attestation and non-Attestation employees have different punch experiences. Attestation employees might have several punch buttons to choose from ( Punch, Punch-In, Punch-Out, and others, for example), and they might need to answer one or more Attestation questions before they can complete their punches. Non-Attestation employees have a single button labeled Punch and can complete their punches without answering any questions.
    Note: For Attestation employees, different questions can be configured for Punch, Punch-In, and Punch-out buttons.
  • Multiple-assignments employee status. If you are a multiple assignments employee with the appropriate FACP, you can change the assignment displayed by the system to one of your choosing. If you have only a single assignment, the Assignment field is not displayed.
  • Feature switch. {removed per DIM-502703 for R9U4]If the Use Attestation Buttons on Punch Tile feature switch has been enabled, all Attestation buttons are displayed directly on the Punch tile; a scroll bar is displayed if the number of buttons exceeds the vertical space available to display them. If this feature switch is disabled (the default), Attestation buttons are displayed in the Type drop-down list. Procedures for submitting a punch vary based on this feature switch.

Punch summary

After you punch, the Punch tile displays a confirmation message. When you return to the Punch tile, it displays:

  • The time the punch was submitted.
  • Your current punch status ("You are punched in" or "You are punched out").

  • Job transfer information for transfers selected by the employee at the time of the punch. Information for automatic transfers is not displayed. An information icon ( ) displays the job's full path when clicked. Work rule transfer information is not displayed.
  • Assignment information (displayed only for multiple assignments employees if they selected something other than their primary assignment for the punch).
Note: The punch summary is not displayed when the Workflow Only button type is used for the punch, or if the employee uses their timecard for time entry.

How assignments are presented in punches

The system can require you to specify an assignment in the Assignment field when you punch. This field and its values are determined by:

  • Whether your manager has configured you as a single assignment or multiple assignments employee

  • Whether or not you are punching for a scheduled shift

Single and multiple assignments employees

If you are a single assignment employee, the Assignment field is not displayed when you punch. Rather, the system uses the assignment configured in your People Information record for this value, as it is the only assignment associated with you.

If you are a multiple assignments employee, the system populates the Assignment field with your scheduled shift. If there is no scheduled shift, the system uses the primary active assignment configured in your People Information record. In either case, if you have the necessary FACP, you can change the Assignment field value to any other active assignment that has been configured for you; or you can select Default Assignment. See Using the Default Assignment later in this topic for more information.

If you manually select an assignment for a punch, the next time you log in or refresh your browser, the Punch tile displays the in-progress shift — and not your scheduled assignment or primary active assignment.
Note: If you do not have the FACP required to select a value from the Assignment field, the system displays the scheduled or primary assignment that will be used for the punch but you cannot change it.

Using the Default Assignment

Default Assignment is listed at the top of the Assignment drop-down field. The Default Assignment is not an assignment configured in your People Information record; it represents one of those assignments. Its purpose is to allow the system (specifically, the Totalizer) to reset the expected behavior of the Assignment field if you manually change the value of the field before punching. This can happen, for example, if you change the value in the Assignment field but become unsure of the appropriate assignment for the punch.

Generally speaking, you should allow the system to manage the Assignment field, but you should be familiar with the behavior of the Default Assignment should you need to use it:

  • If you have neither a scheduled assignment nor an in-progress shift and choose Default Assignment, the system uses the primary active assignment defined in your People Information record for the punch.
  • If you have a scheduled assignment and choose Default Assignment, the system uses the scheduled assignment for the punch; if your scheduled assignment is inactive, the system uses your primary active assignment.
  • If you have an in-progress shift and choose Default Assignment, the system uses the assignment associated with the in-progress shift for the punch.
Note: If you select the Default Assignment value, the Transfer option is disabled.
Default Assignment examples

As described, when you punch with the Default Assignment, the system determines the correct assignment and punch type. (Note that in-progress shifts are treated differently, as described in the next topic.) Consider these scenarios for both Attestation and non-Attestation employees. In these examples, employees have these options for the Assignment field:

  • Default Assignment
  • Assignment 1, the highest ranked active assignment in the People Information record
  • Assignment 2, the employee's scheduled assignment
  • Assignment 3, another assignment in the employee's People Information record

Scenario 1: Attestation employee punching in at the start of the shift

    1. The employee logs in and navigates to the Punch tile. The Assignment field displays Assignment 2 (the employee's scheduled assignment).

    2. The employee selects Punch In for the Type field and changes the Assignment field to Assignment 1 (their primary assignment).

    3. The employee realizes this choice is incorrect but is unsure of the correct assignment, so they choose Default Assignment and click tap Submit.

    4. The employee works the shift and later logs in and returns to the Punch tile. The Assignment field displays the in-progress shift, Assignment 2 (their scheduled assignment).

    5. The employee selects Punch Out for the Type field and clicks Submit.

      The employee's timecard records a punch-in/punch-out pair for Assignment 2.

  1. Scenario 2: Non-Attestation employee punching in when they are not scheduled
    1. The employee logs in and navigates to the Punch tile. The Assignment field displays Assignment 1 (the employee's primary assignment).

    2. The employee changes the Assignment field to Assignment 3.

    3. The employee realizes this choice is incorrect but is unsure of the correct assignment, so they choose Default Assignment and click tap Punch.

    4. The employee works the shift and later logs in and returns to the Punch tile. The Assignment field displays the in-progress shift, Assignment 1 (the employee's primary assignment).

      What happens next depends on the choice the employee makes. If the employee:

      • Clicks Punch, the timecard will record a punch-in/punch-out pair for Assignment 1.
      • Selects a different assignment before clicking Punch, the timecard will record two in-punches: the existing in-punch for Assignment 1, and a new in-punch for the assignment the employee selected before punching.

      • Selects a different assignment, but selects Default Assignment before clicking Punch, the timecard will record a punch-in/punch-out pair with Assignment 1.

In-progress shifts

An in-progress shift is a shift that is still open (that is, you have punched in for the shift but have not yet punched out). What happens on your next punch depends on the assignment value and your system's punch interpretation and other rules. Best practice is to avoid manual changes and let the system manage the Assignment field.

  • If you punch using the assignment already displayed in the Assignment field, the system creates an out-punch for the current assignment, closing the in-progress shift.
  • If you choose a different assignment from the Assignment field, when you punch the system creates an in-punch for the assignment you selected. Depending on punch interpretation and other rules established for your system, a missed out-punch exception might result for the existing in-progress shift.
  • If you choose Default Assignment for the Assignment field value, when you punch the system creates an out-punch for the current assignment.
Note: Some punch behavior depends on the margins and restrictions configured in your system's punch interpretation rules. For example, punches made within a specified period of time after the previous punch are associated with the current assignment, and not with your scheduled or primary assignment. See Punch Interpretation Rules for more information.

Using the Punch tile: non-Attestation employees

To use the Punch tile as a non-Attestation employee:

  1. Log in to UKG Pro Workforce Management.
  2. In the Punch tile on the Home page, review these fields and optionally make changes.
    1. Assignment – If available, optionally change the assignment for which you want to punch. The value in this field defaults to the scheduled assignment if it is available, or to the primary assignment configured in your People Information record if it is not.

      The system adheres to the same logic if the Assignments field is not displayed.

      Note: The Assignment field is displayed only for multiple assignments employees. Whether or not its value can be changed is based on the FAP configured for the employee.
    2. (Optional) Transfer – If available, select a transfer, or select More… to open the Transfer glance where you can select the business structure, work rule, cost center or labor category for the transfer.

      Note: The Transfer field is displayed based on the FAP configured for the employee. Available values are based on the job transfer set associated with the selected assignment. This field is disabled if you choose Default Assignment for the Assignment field.
    3. (Optional) Cancel Deduction – Deductions are automatic breaks built into a shift. For example, if you have an 8.5-hour shift with half-hour break deduction, you are paid for 8 hours. If you work through the break and this field is available, you can cancel the break deduction by selecting Yes. Select No to include a standard meal deduction with the punch.

      Note: The Cancel Deduction field is displayed based on the FAP configured for the employee.
  3. Click Tap the Punch button.

    The system makes the required punch-in or punch-out and displays a message indicating whether the punch was accepted. See Punch summary for more information.

Using the Punch tile: Attestation employees

The process for punching as an Attestation employee varies from that of a non-Attestation employee in two important ways. Depending on how your manager has configured your Attestation profile and Attestation buttons:

  • You must answer one or more simple questions to complete the punch, attesting —or confirming— that something is true. For example:

    • Did you take a meal break? (Yes/No)

    • Do you feel safe? (Yes/No)

  • The Punch tile can include several punch types, depending on how your system is configured ( Punch, Punch-in, Punch-out, and so on). These buttons are displayed directly on the Punch tile .

Punching when the Type field is displayed

Use this procedure when the Type field is displayed on the Punch tile.

  1. Log in to UKG Pro Workforce Management.

  2. In the Punch tile on the Home page, review these fields and optionally make changes.

    1. Assignment– If available, optionally change the assignment for which you want to punch. The value in this field defaults to the scheduled assignment if it is available, or to the primary assignment configured in your People Information record if it is not.

      The system adheres to the same logic if the Assignments field is not displayed.

      Note: The Assignment field is displayed only for multiple assignments employees. Whether or not its value can be changed is based on the FAP configured for the employee. The Assignment field is enabled only if you choose a punch type that corresponds with an in-punch (Punch, Punch In, New Shift).
    2. Type– Select the type of punch you want to perform.

      Note: If you are unsure of the type of punch required, select the Punch button if it is configured. The system will determine the correct punch type when you submit the punch.
    3. (Optional) Transfer – If available, select a transfer, or select More… to open the Transfer glance where you can select the business structure, work rule, cost center or labor category for the transfer.

      Note: The Transfer field is displayed based on the FAP configured for the employee. Available values are based on the job transfer set associated with the selected assignment. This field is disabled if you choose Default Assignment for the Assignment field.
  3. Click Tap the Submit button.

  4. The Confirm panel displays the first of any Attestation questions configured for you. Select the appropriate answer and click the Next button to continue.

  5. Answer additional questions displayed on subsequent Confirm panels, if any.

The system displays a message indicating whether the punch was accepted. See Punch summary for more information.

Punching when punch buttons are displayed on the Punch tile

Use this procedure when punch buttons are displayed in a column on the Punch tile.

  1. Log in to UKG Pro Workforce Management.

  2. In the Punch tile on the Home page, review these fields and optionally make changes.

    1. Assignment– If available, optionally change the assignment for which you want to punch. The value in this field defaults to the scheduled assignment if it is available, or to the primary assignment configured in your People Information record if it is not.

      The system adheres to the same logic if the Assignments field is not displayed.

      Note: The Assignment field is displayed only for multiple assignments employees. Whether or not its value can be changed is based on the FAP configured for the employee. The Assignment field is enabled only if you choose a punch type that corresponds with an in-punch (Punch, Punch In, New Shift).
    2. (Optional) Transfer – If available, select a transfer, or select More… to open the Transfer glance where you can select the business structure, work rule, cost center or labor category for the transfer.

      Note: The Transfer field is displayed based on the FAP configured for the employee. Available values are based on the job transfer set associated with the selected assignment. This field is disabled if you choose Default Assignment for the Assignment field.
    3. Select the button for the type of punch you want to perform.

      If you are unsure of the type of punch required, select the Punch button if it is configured. The system will record the correct punch type.

      Note: If you selected an assignment or a transfer, the Punch Out button is disabled.
  3. The Confirm panel displays the first of any Attestation questions configured for you. Select the appropriate answer and click the Next button to continue.

  4. Answer additional questions displayed on subsequent Confirm panels, if any.

The system displays a message indicating whether the punch was accepted. See Punch summary for more information.

Additional questions

Depending on your access rights and how the system is configured, you might also see additional messages when you punch:

  • If your manager modified your time after you answered the attestation questions and approved your time, you are prompted to attest and approve your time again.
    • If you have missed punches or unexcused absences and you choose to correct them, the system can do one the following depending on your system configuration:
      • Display a panel that summarizes the missed punches or unexcused absences. You can correct your punches one by one on a day-by-day basis in a series of panels. Note that if your manager needs to approve your corrections, your timecard is not updated until your manager approves your edits.
        Note: You can correct missing punches only on the days noted. You cannot change or add punches on other days.
      • Display your timecard. Note that your access rights dictate exactly what and how you can edit your timecard. For example, if your manager needs to approve your edits before they are recorded, your edits do not appear in the timecard and the following message appears:

        Information Your changes have been submitted but will not display until they are approved.

        If this happens, click tap View Pending from the action bar. The Pending Changes panel opens and lists all of your pending changes. You cannot change the status of your changes, but you can review the approval status of your edits in the Control Center.

        When your manager acts on your edits, you receive a notification and the approval status is updated in the Control Center. If your manager approves your edits, they become visible in your timecard. If your manager does not approve your edits, they are not visible in your timecard.
