Generic notifications

Generic notifications are an extensive category of notifications that are associated with a number of application-specific functions to send messages to users.

Types of generic notifications

Generic notifications are used to generate the following types of notifications:

  • Attendance— Use Attendance notifications to have the system send a notification to an employee or manager each time the actions of an employee trigger rule or rule groups of an attendance policy.

    Attendance Notifications are configured on the Attendance Policies page in the Alertcolumn on the Incident Rules tab. See Attendance Policies for configuration information.

  • Timecard— Use timecard notifications to notify users of various exceptions on the timecard.

    Generic notifications are assigned to each Timekeeping Alert type on the Timekeeping Alert Profile page. See Timekeeping Alert Profile for configuration information.

  • Edits to Approved Accounts— This alert notifies users that an edit was made to an approved account. This is needed for the timecards of employees who work for more than one manager.

    When a user edits an approved account, the system sends a notification to the people who have approved that account with information about the employee and date of the difference.

  • Employee Self-Service Requests— Several notification types are devoted to informing the manager or employee about requests made via Employee Self-Service, and the response of managers to such requests. Notifications can be constructed with custom tags to include a wide variety of system generated data as appropriate to the request subtype and its implementation at the site. The following request types are supported:
    • Global Time Off
    • Work Time
    • Global Open Shift
    • Open Shift
    • Change Availability Request
    • Scheduling Request to Cover
    • Scheduling Shift Swap
  • Integrations— These alerts notify managers when integrations start, are completed successfully, failed, or are completed with errors.
  • Invalid Reviewer— Invalid Reviewer alerts occur when a reviewer list encounters non-valid reviewers in a sequence of reviewers or others who will be notified when there is activity within the list.

    You must then select the generic notification in the system setting, global.RequestReviewers.NonValidReviewerNotification.EventInstID, on the Global Values tab in System Settings.

  • Leave of Absence Case Notifications— Leave of Absence case notifications are configured in several locations. See Leave of Absence Case Request Notifications for configuration information.
  • Leave Document Reminders— Leave Document reminders are used to send reminders to individuals that a document or action is required. See Reminder template for configuration information.
  • Leave Rules— Use Leave Rules notifications to have the system notify managers and employees with details about their leave types, takings, and balance. Configure the alerts in the Application Setup > Leave Setup > Leave Rules. See Leave rules for configuration information.
  • Plan Status— Use Plan Status alerts with Budgeting to notify stakeholders about changes to plans. The Released Plan alert warns the Basic Budget Planner user (typically a store manager) that a plan has been released for approval or modification.
  • Request Period— Use Request Period alerts to have the system notify employees when the request period is open. This time frame is used by Scheduling Self-Service employees to request open shifts. Configure the alerts in Application Setup> Event/Notification > Control Center Notification Mapping.
  • Schedule Posting— Use Schedule Posting alerts to have the system notify employees when a schedule that affect them has been posted or unposted. Configure the alerts in Setup> Event/Notification> Control Center Notification Mapping.
  • Trend Forecast Alert— Use Trend Forecast alerts to notify managers when a volume threshold violation occurs. The alert displays the threshold violation with details including the volume driver and the site or department affected. The alerts that a manager receives is determined by the manager's Forecasting Category Profile.
  • Visibility Period— Use Visibility Period alerts to have the system notify employees when the visibility period is open. This time frame is used by Scheduling Self-Service employees to view the open shifts. Configure the alerts in Setup> Event/Notification> Control Center Notification Mapping.
  • Work Time Request— Use Work Time Request alerts to notify an employee or manager when requesting additional work time for an employee.

Configure a generic notification

  1. Navigate to Administration > Application Setup > Event/Notification > Workflow Notifications.
  2. Select New.
  3. Select Generic notification and click tap Ok.
  4. Enter a name and description.
  5. Select a priority (Low, Medium, or High) for the notification. The priority is used to drive Notification Profiles and delivery methods.
  6. (Optional) Select One-click navigation in E-mail to include a URL to the appropriate navigation page that the user will use to address the alert.
  7. Select one or more of the following from the Recipients area:
    Note: The notification will not be available on the Approval Settings and Configure Request Subtypes configuration pages if any option but Recipient List will be supplied at runtime is selected.
    • Recipient List will be supplied at runtime— The email addresses are defined in the business process; you do not have to enter them manually. Do not select any of the other options.
    • If you select any of the following, in Email Recipients enter the email addresses, each separated by a semi-colon (;):
      • Send to Employee's Attendance Manager
      • Send to Employee's Leave Manager
      • Send to Employee's Manager
      • Send to Employee
  8. (Optional) Select the Trigger Business Process check box and provide the following information:
    1. Select the applicable template from the drop-down.
      Note: Only the templates that are deployed and active are listed here.
    2. Select Trigger Business Process only to run the template without any generic notification action or messages to recipients.
    3. Select one of the following buttons to indicate how the Business Process will run:
      • Notification Recipient List— The recipient list is the same as that of notification.
      • System User— The notification will be sent as the WBAUSER system account.
  9. In the Suppress Duplicate Alertsarea, specify how often you want the system to resend the same message:
    • Resend every day
    • Resend every. If selected enter an amount of time.
    • Do not suppress duplicates
    Note: Duplicates are determined by the contents of the Subject, Short message, Long message, and Control Center Fields.
  10. In the Message area, customize the Subject, Long Message, and Short Message text boxes. For more information, see Message area.

    To insert custom tags, click in one of the text boxes, select Insert Custom Tags, select a group, and then select the applicable custom tags. For more information, see Custom Tags.

  11. (Optional) Enter Control center fields which will appear along with the notification in control center. Enter a Label and Value for each. Use Custom Tags as necessary.
