Edit multiple shifts

You can edit multiple shifts at one time using the Multi-Edit tool. It enables you to specify filter criteria to define which shifts you want to edit. You can then specify one or more actions, such as modifying the start time or adding comments, to perform on the selected shifts. The shifts available to edit are those from the currently loaded schedule.

Note: To use this functionality, you must have the appropriate access rights.

To edit multiple shifts using Multi-Edit:

Note: Shifts on signed-off and partially signed-off days, shifts that are your own but you do not have access to edit, and locked shifts are not included in the list of filtered shifts you can perform actions on.
  1. In the Schedule Planner, either click tap Tools > Multi-Edit, or select one or more employees in the schedule, then click tap Tools > Multi-Edit. When you pre-select a list of employees, the first filter displayed in the Multi-Edit slider is Selected Employees. You can click next to Employee Selected in Schedule to see the employee names. You can remove the selected employees filter, but you cannot edit the list of employees in the filter.
  2. In the Multi-Edit slider, in Filter, select a shift filter:
    • All Shifts— You can only select this filter if it is the first filter specified. Once other filters have been selected, the All Shifts filter is not available. If you have the All Shifts filter selected, you cannot add additional filters.
    • Shift Type— Select a shift type:
      • Open Shifts Only
      • Assigned Shifts Only
    • Start Date— Select one of the following criteria, then enter the date or click to select a date from the loaded schedule period.
      • On
      • Before
      • On or Before
      • After
      • On or After
      • Between (enter both From and To date)
    • End Date— Select one of the following criteria, then enter the date or click to select a date from the loaded schedule period.
      • On
      • Before
      • On or Before
      • After
      • On or After
      • Between (enter both From and To date)
    • Start Time— Select one of the following criteria, then enter the start time.
      • At
      • Before
      • At or Before
      • After
      • At or After
      • Between (enter both From and To time)
    • End Time— Select one of the following criteria, then enter the end time.
      • At
      • Before
      • At or Before
      • After
      • At or After
      • Between (enter both From and To time)
    • Time within Shift Span— Select one of the following criteria, then enter the time that intersects the shift.

      For example, if you specify a shift span that includes 2:00 PM, any shift that intersects with 2:00 PM is included in the list of filtered shifts.

      • Includes
      • Does Not Include
    • Jobs Click Tap Select Locations to select a location node or job node, then click tap Apply.

      When a location node is selected, all jobs in the path below the location are returned by the filter.

      When one job is selected, the full job path is displayed. Note this job path may be truncated based on how your system is configured.

    • Shift Label— Select one of the following criteria, then enter a shift label. The shift label must be an exact match of an existing shift label; however, it does not have to be case-sensitive.
      • Is
      • Is Not

      If you do not specify a shift label, and the operand Is is selected, all shifts that have no shift label defined are returned in the filter results. If the operand Is Not is selected, then all shifts that have a shift label defined are returned in the filter results.

    • Comments— Select an existing comment from the list. Available comments are those with type Shift.
  3. To select additional filters, click tap Add filter, select another filter and specify the filter parameters. To remove a filter, click next to the filter name.
    Note: Once you have selected a filter, you cannot add another instance of the same filter type.
  4. Click Tap Next. At the top of the slider, a list of the applied filters displays, as well as the number of filtered shift results and the number of selected shifts.
  5. In the list of filtered shifts, select the shifts you want to edit, or click tap Select All to select all the shifts. By default, the filtered shifts are listed in order by Start Time. To sort the list by a different criteria, click Sort. You can sort the shifts by Start Time, Start Date, Job, or Employee Name.

    To see more details about a shift, click tap More on the shift.

    To edit the selected filters, click tap Edit , then add or remove filters. Click Tap Next to return to the list of filtered shifts where you can select the shifts you want to edit.

  6. Click Tap Next. At the top of the slider, the number of selected shifts is displayed. To change which shifts are selected, click tap Edit , then select or unselect shifts. Click Tap Next to return to the action selection.
  7. Select an action to perform on the selected shifts, then specify the parameters for the action, where applicable:
    • Modify Start Time— Enter the New Start Time for the shifts.
    • Modify End Time— Enter the New End Time for the shifts.
    • Move Shift— In Amount, enter the duration of time (hh:mm) to move the shifts. You can enter either positive or negative values.

      For example, you could enter 00:45 to move shifts forward by 45 minutes, or enter -01:00 to move shifts back by one hour.

      Note: The following behavior applies only if your system has been configured to synchronize shift labels.

      When you move shifts:

      • If you manually added the shift label to the shift, the label is saved and displays on the shift.

      • If the shift was created using a shift template, the shift label is removed.

    • Delete Shift— You can only select this action if it is the first action specified. Once other actions have been selected, the Delete Shift action is not available. If you have the Delete Shift action selected, you cannot add additional actions.
    • Change Shift Label— Enter the New Shift Label. You can enter a maximum of 30 characters for the shift label. To remove labels from the shifts, do not enter any characters in New Shift Label.
    • Add Comments/Notes— In Comments, select an existing comment and enter a corresponding note (optional). To add an additional note to the comment, click Add Another Note. When all notes have been added, click Add.
      Note: If you do not have the appropriate access to add comments and notes, the Add Comments/ action is not available.
    • Insert Transfer Click Tap Select Job, then choose the job to transfer the shifts to.
      Note: If you do not have the appropriate access to insert transfers, the Insert Transfer action is not available.
    • Assign Breaks— If you do not have the appropriate access to assign breaks, this action is not available.
      Note: The following behavior applies only if your system has been configured to synchronize shift labels.

      When Assign Breaks is selected:

      • If you created a shift and manually added the shift label, the label is saved and displays on the shift.
      • If the shift was created using a shift template, the shift label is removed.
  8. To select additional actions, click tap Add Action, select another action and specify any parameters. To remove an action, click tap next to the action name.
    Note: The system applies the actions in the order that you have added them, except for Assign Breaks and Change Shift Label which are applied after all other actions.
  9. Click Tap Review.
  10. At the top of the slider, the list of selected actions is displayed, as well as the number of selected shifts. To change the actions, click tap Edit in Actions. To change which shifts are selected, click tap Edit in Selected Shifts.
  11. Click Tap Apply. In the Schedule Planner, a red dot displays on all shifts that have been modified.
  12. Click Tap Save to save the changes to the shifts.
