Enable request approval from a Dataview

You can approve and refuse Open Shift and Time-Off requests directly from any Employee View Dataview. When this feature is enabled, a Requests button is displayed on the Dataview page toolbar with two choices: Approve and Refuse. The Requests button is displayed to the right of the Create Notice button. The system displays a confirmation message when you perform either of these actions on the requests you have selected in the Dataview.

Approve and refuse actions performed from Employee View Dataviews are subject to the same rules and validation as request actions performed from the Control Center. For example, if multiple levels of approvers are required, then approving through the Dataview will advance the request only to the next step in the approval process. Similarly, the application displays an error if the manager tries to approve or reject a request for which they do not have permissions to change a request's state (as can happen with multi-level approvals and the manager is not in the current level).
Note: Errors are displayed in the Dataview Group Edit Results (Main Menu > Dataviews & Reports > Group Edit Results).

Configuration

To enable this functionality in an Employee View Dataview, you need to:

  • Verify that the Dataview includes a column for the request ID.

In order for managers to be able to approve or refuse Open Shift and Time-Off requests from a Dataview, the Dataview must have a column for the request's ID (Open Shift Request ID or Time-off Request ID, for example). Open any Dataviews you plan to make available to the manager for this purpose and add the request ID columns if they are not already present.

    1. Go to Main Menu > Administration > Application Setup > Display Preferences > Information Access > Dataview Management.

    2. Locate the Dataview and select Edit.

    3. If the required request ID column is not included in the Dataview, add it.

For more information, see Edit a Dataview.

  • Enable Manage Requests in Dataviews access control points

In this step, you enable Manage Requests in Dataviews and the approve and/or refuse actions you want to permit.

    1. Go to Main Menu > Administration > Application Setup > Access Profiles > Function Access Profiles.

    2. Select New or Duplicate to create a new function access profile, or select an existing function access profile and select Edit.
    3. Go to Manager – Department Manager > Datatviews – Group Edits > Manage Requests in Dataviews.
    4. Set Manage Requests in Dataviews to Allowed.

    5. Set either or both Approve requests and Refuse requests to Allowed.

    6. Select Save & Return.

For more information, see Function Access Profiles.

  • Associate the function access profile.

In this step, you associate the function access profile you just created or modified with the appropriate individuals in your organization.

    1. Go to Main Menu > Maintenance > People Information.

    2. Select a person.
    3. In Employee, select Access Profile.
    4. In Function Access Profile, select the function access profile you just created or modified.
    5. Select Save.
