Gaming Smart View transactions

Many Smart View transactions are available for Gaming. You can configure employee access to these transactions using Transaction Profiles. See Transaction Profiles.

To use Smart View transactions with an InTouch device, they need to be assigned in the device soft key settings. Refer to the Gaming Application Configuration and Deployment guide for more information. For the devices that use Gate Access transactions, you can specify the Gate Access type for each device in Device Setup. See Device Setup.

Punch, Transfer, and Enter Tips transactions

The Punch In, Punch Out, and Transfer transactions enable tip declaration and skills and certifications enforcement at the clock. When an employee is prompted to enter a tip declaration, the amount they enter is added to their timecard as a paycode edit using the tip declaration paycode defined in Gaming Configuration.

  • Punch In — This is a standard punch in for an employee where they enter their badge or ID number to punch in. If an employee attempts to punch in after the timecard has been approved they will receive an error.
  • Punch Out — When an employee punches out, if they are designated as a Tip Declaration employee then they will be prompted to enter their tips for the shift, review the amount, and then accept the amount when they punch out. There are a few configurable options (in Transaction Profiles) for Punch Out:
    • Display Hours Worked— Select this if you want the employee's total worked hours for the shift and the associated pay codes to appear when they punch out.
    • Voluntary Early Out— Select this if it is required for the employee to enter a comment for why they are leaving early and also have a manager approve the early out. The threshold for early out is set in Maintenance > People Information > Gaming > Early Out Shift Length.
  • Transfer — When an employee transfers, they are prompted to choose the job, work rule, labor category, or cost center (depending on how their Transaction Profile has been configured). Once they select their transfer, they are prompted (if they are designated as a Tip Declaration employee) to enter tips for the job they are transferring to.
  • Enter Tips — Allows employees to enter tips that have not yet been reported or correct tips that were entered incorrectly. This only applies to tip declaration employees. This transaction does not create a new tip entry unless it cannot find a previously reported tip. For corrected tips, the transaction searches for the last tip entry based on the date and time and then changes that amount to the newly entered amount.
    Note: This transaction looks back the number of days set in the EnterTipsSmartViewMaxDays property in Gaming Configuration > Gaming Properties.

Gate Access transactions

  • Cafeteria — Allows entrance to the cafeteria. The meal budget Smart View is typically the only transaction set up on the Cafeteria clock. The meal budget Smart View is available online and offline and takes the employee's badge number, shows a confirmation message, and triggers the gate or door to open. The badge number, employee information and the punch date and time are saved in the Gaming database.
    Note: For offline meal budget Smart View transactions, meal budget rules are not enforced.

    By default, employees are not allowed access to the cafeteria if they exceed their meal budget, but this can be configured to allow access when over budget. See Device Setup.

  • Parking — Opens the gate at the entrance to the parking area. This is typically the only transaction set up on the parking gate device (clock), and is therefore set as the default transaction. Employees can swipe their badge to activate the gate and they do not need to physically interact with the device. The transaction is recorded in the Gate History table and is used for reporting purposes only.
  • Restricted Area — Opens the gate at the designated restricted area. This is typically the only transaction set up on the restricted area clock, and is therefore set as the default transaction. Employees can swipe their badge to activate the gate and they do not need to physically interact with the device. The transaction is recorded in the Gate History table and is used for reporting purposes only.
  • On Premises — Determines all employees that are currently on premises (for reporting purposes).
  • Off Premises — Determines all employees that are currently off premises (for reporting purposes).

Special Event transactions

  • Enable Clock — Enables a special event clock.
  • Disable Clock — Disables a special event clock.
  • Special Event — Starts or stops a special event.

Offline transaction support

If the connection to the server is down when an employee attempts to use a transaction, the following occurs:

  • For Punch In, Punch Out, and Transfer, all data is saved locally and transferred to the server when it is online.
  • For Tip Declaration employees, they are not prompted to enter tips if the connection to the server is down, only the punch is saved to the timecard. Tip declarations will need to be made manually in the employee's timecard.
  • For Job Transfer punches, employees will not be prompted for the job or tip declaration if the connection to the server is down. The transfer and tip declaration information will need to be entered manually in the employee's timecard.
  • Skills and certifications are not validated during Punch In.
  • Gate access transactions are captured when clocks are offline. When clocks are offline, gates still operate at Parking, Restricted Areas, Cafeteria, and On and off premises based on the restrictions put in place. For example, employees who cannot access a restricted area cannot access the area even when clocks are offline.
  • Meal budget calculations are not performed when clocks are offline.
