Group edit actions

Group edit actions enable managers to select a group of employees and perform an action to be applied to each of the selected employees. Group edit actions for Work can be performed using the Employee Summary page or Dataviews.

Configure group edit actions

Function Access Profiles

Before performing group edits, managers must be configured with a Function Access Profile that allows them to perform group edit actions . To enable group edit actions :

  1. Navigate to Access Profiles > Function Access Profiles > Manager - Department Managers > Dataviews - Group Edits
  2. Under Dataviews - Group Edits, locate Work Actions.
  3. To enable all

    group edit actions

    , set Work Actions to Allowed.
  4. To enable specific

    group edit actions

    , click Work Actions and set the desired action to Allowed. Choose from the following:
    1. Create Hourly Activity

    2. Stop Open Activity

    3. Create Duration Activity

    4. Log Off All Activities

    5. Assign to Activity

    6. Unassign from Activity

  5. Save your changes.

Job Transfer Sets

  • When performing a group edit, managers can only search for activities included in their job transfer set. To edit a manager's job transfer set, navigate to People Information > Timekeeping > Manager Role - General > Manager Job Transfer Set

  • When a manager submits a group edit for one or more employees whose job transfer set does not include the chosen activity, the action will fail for those employees. To edit an employee's job transfer set, navigate to People Information > Timekeeping > Employee Role > Employee Job Transfer Set

Group edit results

After submitting group edit actions , the status of those group edits can be viewed by navigating to Dataviews & Reports > Group Edit Results and clicking on the desired group edit submission, or by viewing the timecard of any employee included in the group edit.

In some cases, Work group edit actions may fail to process for one or more employees. When a group edit fails to process, it is because of an error found in the details of the submission. For example, a group edit may fail to process if:

  • A group edit includes one or more employees whose employee job transfer set does not include the chosen activity.
  • A

    Stop Open Activity

    submission includes one or more employees who were not working on that activity.
  • A

    Stop Open Activity

    submission includes an activity that was not started prior to when the submission was made.
  • A

    Create Hourly Activity

    or

    Stop Open Activity

    submission includes the concurrent indicator after an employee's maximum concurrency has been reached.
  • A

    Create Hourly Activity

    or

    Stop Open Activity

    submission includes one or more employees whose activity tracking status is set to duration.
  • A

    Create Duration Activity

    submission includes one or more employees whose activity tracking status is set to hourly.
  • A

    Log Off All Activities

    submission includes one or more employees who are not currently logged in.
