Pay from schedule

Pay from schedule refers to the option of populating employee timecards with data drawn from their scheduled arrival and departure times, rather than from actual punches.

If the pay from schedule feature is configured, employee timecards display the following information.

Hourly timecards

The following information displays for scheduled shifts on the hourly timecard:

  • Scheduled (purple) punches
  • Transfer (purple), if scheduled
  • Shift totals
  • Daily totals
  • Period totals
  • Totals in the Totals add-on

When you use pay from schedule for hourly timecards, you can do the following:

Modify scheduled shift

If a scheduled shift is modified, the scheduled (purple) punch is updated. In addition:

  • Any scheduled transfer is either updated, deleted, or a new transfer is added for a segment
  • A new comment is added or deleted

All attributes of the scheduled shift become actual entries and display in black. Totals also become "actual" and are recalculated if necessary.

Note:

For days with multiple segments, if you edit the segments so that they become one continuous segment (all with either no transfers or the same transfer value), then the rows will collapse into one row with the continuous segment. For example, Gary Adams has the following schedule for October 1:

  • 7:00 am - 11:00 am (Regular)
  • 11:00 am - 3:00 pm (Regular)

In the timecard, these appear in 2 rows for October 1. If you edit 7:00 am to 7:15 am, when you click away from the row, the 2 rows collapse into one row.

Add a punch to same day as a scheduled punch

If a new punch is added to a day where a scheduled punch exists, the following occurs, depending on how the early start margin and end margin are configured in the Punch Interpretation rule.

  • If the punch is added within the early start margin and end margins of the scheduled punch, all attributes of the scheduled shift become actual entries and display in black. Totals also become "actual" and are recalculated if necessary.
  • If punch is added outside the early start margin and end margins of the scheduled punch, the system does not change the scheduled shift.

Delete a scheduled shift (segment or punch)

To delete the scheduled shift from the system, you must delete all scheduled segments of the shift.

If only one shift segment (or one punch) is deleted, all remaining shift attributes become actual entries and appear in black. Totals are recalculated.

Project timecards

  • All scheduled shifts on a project timecard are displayed as Home. If more than one scheduled shift is created, all shifts are combined into one Home.
  • If some scheduled segments of scheduled shifts have transfers, each segment displays on separate lines.
  • Scheduled shifts on the project timecard are editable depending on the pay rule settings.

When you use pay from schedule for project timecards, you can do the following:

Modify scheduled "Home"

If an amount is updated, the Home record for that day becomes an actual (black) entry and the totals are updated.

Delete scheduled "Home"

If an amount is deleted for a day that has scheduled Home hours, it is treated as a deletion of the scheduled shift for that day.

Add "Home"

If a Home record is added on a day that has scheduled Home hours, the timecard displays according to Pay Rule settings.

Paycode edits

The "pay from schedule" behavior varies depending on the type of paycode.

Standard and cascading paycodes

The following information is displayed on the hourly timecard:

  • Paycode itself
  • In-punch (equal to start time in the schedule)
  • Transfer, if scheduled
  • Amount (equal to specified amount in the schedule)
  • Comments and notes (if applicable system settings is enabled)

The following information is displayed on the project timecard:

  • Paycode itself
  • Transfer, if scheduled
  • Amount in hours or with a symbolic amount, depending on what was specified in the schedule
  • Comments and notes (if applicable system settings is enabled)

If you make a paycode edit where any scheduled attribute is modified, a transfer, comment, or note is added, or a scheduled transfer is deleted, the paycode edit becomes an actual (black) entry and the totals are updated.

To delete a scheduled paycode, you must delete the entire record.

Duration paycodes

The following information is displayed on the hourly timecard:

  • Paycode itself
  • In-punch (equal to start time in the schedule)
  • Out-punch
  • Comments and notes (if applicable system settings is enabled)
Note: An amount for scheduled duration paycode is not displayed on the hourly timecard.

The following information is displayed on the project timecard:

  • Paycode itself
  • Amount in hours or with a symbolic amount depending on what was specified in the schedule
  • Comments and notes (if applicable system settings is enabled)

If you make a paycode edit where any scheduled attribute is modified, an amount, transfer, note or comment is added, or a scheduled transfer is deleted, the paycode becomes an "actual" (black) entry and the totals are updated.

To delete a scheduled paycode, you must delete the entire record.

Leave edits

The following information displays for Leave edits on the hourly timecard:

  • Leave edit itself
  • In-punch (equal to the start time on scheduling)
  • Transfer, if scheduled
  • Amount (equal to specified amount on scheduling)
  • Comments and notes (if applicable system settings is enabled)

The following information should be displayed on the project timecard:

  • Leave edit itself
  • Transfer, if scheduled
  • Amount in hours or with a symbolic amount depending on what was specified in the schedule
  • Comments and notes (if applicable system settings is enabled)

If you modify a scheduled attribute, add a transfer, comment, or note, or delete a scheduled transfer, the Leave edit becomes an actual (black) entry and the totals are updated.

To delete a scheduled Leave edit, you must delete the entire record.
