View by job

Viewing the schedule by job enables you to see a comprehensive view of open and filled employee shifts by specific job in each location. With this view, you can better identify gaps in the schedule and assess coverage issues by job. You can also search the schedule by job.

To view shifts organized by job:

  1. Click Tap View by > Job.
  2. At the top of the Location column, click tap and select Collapse All Locations to show only header rows indicating each location name. Click tap and select Expand All Locations to show a header row indicating each location name followed by rows indicating each job name in that location.
  3. To expand an individual location to show all jobs and shifts, click the right arrow next to the location name. To collapse an individual location to show only the header row with the location name, click the down arrow next to the location name.
  4. To sort jobs by ascending or descending alphabetical order, click the Job column heading.
  5. To move employee shifts and open shifts to a different day in the schedule, drag and drop shifts horizontally. To move employee shifts and open shifts to a different job or location, drag and drop shifts vertically.
  6. To consolidate shifts when an employee has multiple jobs in one shift, you can consolidate the shifts so the employee is only working one job for the entire shift. Vertically drag the employee's shift with the job you want to change onto the employee's shift with the job you want the merge with.
  7. To assign an employee to an open shift, click Assign in Quick Actions, choose an employee from the list, then click the open shift.

    When multiple, identical open shifts exist for a job, the shifts are displayed as one aggregate shift in the schedule. The number of open shifts is shown in the upper-left corner of the shift. When you assign one of these open shifts, the number is decremented accordingly.

  8. Click Save.

To search by job:

  1. In the Job view, click Search above the Location column.
  2. In the Search field, enter a full or partial job name and click Search . All matching jobs per location are displayed in the schedule.

Visual arrangement

  • You can only view one week of the schedule at a time when using the Job view.
  • For each location, scheduled shifts are grouped together by job. Employee shifts are displayed graphically by each day. This enables you to evaluate coverage by job, identify gaps in the schedule, and create open shifts.
  • To view the full details for a location, hover over the location in the Location column to display a tool tip.
  • In general, the shifts are displayed in the schedule by start time.
  • For filled shifts, the employee name is displayed as space allows. At a minimum, the first 4 letters of the employee name is shown. The shift time or icon is also displayed, depending on the Schedule Planner configuration.
  • If a portion of an employee's shift displays in gray, it indicates that there is a job transfer and the shift is split between different jobs. You can hover over the shift to see the full details.
