Manage auctions

Managers can view auction status from their Manage Auction tile, as well as use the links on the tile to open the Auction Summary and All Auctions pages. The users that can manage auctions are those that are identified as Auction Schedulers in an auction or auction template.

Note: The Manage Auctions tile needs to be configured and added to the manager's home page. See the Auctions Application Configuration Guide.

Manage Auctions tile

Managers use the Manage Auctions tile to view information about auctions and take action. The tile contains the following options and information:

  • Auction list— A list of all auctions that the manager has access to that are in progress or starting soon. Information includes the name of the auction, the number of turns completed, and the end date and time for the auction.
  • Auction progress— The percentage of auction bidders that have submitted the minimum number of bids required.
  • Auction Summary link— Managers can review and edit the bids submitted from the Auction Summary. Click Tap the arrow ( ) next to any auction.
  • All Auctions link— Managers can create new templates, new auctions, view and edit all auctions from this page. Click Tap View All Auctions.

Edit auction bidders

  1. From the Manage Auctions tile, click tap the arrow ( ) for the auction you need to add bidders to.
  2. On the Auction Summary page, click tap Edit Bidders .
  3. On the Edit Bidders panel, use Add from Hyperfind or Add Employee to find the employees to add to the auction.
  4. When finished, click tap Apply.

Reorder auction bidders (bidder priority)

  1. From the Manage Auctions tile, click tap the arrow ( ) for the auction you need to reorder bidders.
  2. On the Auction Summary page, click tap Reorder Bidders .
  3. On the Reorder Bidders panels, select a different option from the Order By list.
  4. Click Tap Apply.

Submit bids on behalf of an employee

When an employee's auction status is listed as Action Required, this means that they have not yet submitted the minimum amount of bids for the auction. Managers can submit bids on behalf of employees from the Auction Summary page. Bids that are submitted on behalf of an employee are included in the auction audit.

  1. From the Manage Auctions tile, click tap the arrow ( ) for the auction you need to submit bids for.
  2. On the Auction Summary page, click tap the Bidders tab.
  3. Select the arrow ( ) for the employee you need to submit bids on behalf of.
  4. In the panel, select bids and then click tap Save.

Auction Summary page

The Auction Summary page opens when you click tap the arrow ( ) to open an auction from the All Auctions page or the Manage Auctions tile. This page contains the following options:

Auction information:

  • Auction name and status
  • Turns Completed— The number of turns completed for the auction.
  • Periods— The number of bid items in the auction.
  • Minimum Bids— The minimum number of bids an employee is required to submit for the auction.
  • Maximum Wins— The maximum number of items an employee can win for the auction.
  • End Date or Start date— The end date of the auction if it is open, or the start date of the auction if it is not started.
  • Days Remaining— The number of days remaining for the auction.
  • Periods tab:
    • Periods— Date range for the period (bid item). Select the arrow ( ) to view details about all submitted bids for the period.
    • Bids— The number of bids submitted for the bid item.
    • Bids Won— The number of bids that have been won for the bid item.
    • Awarded– The number of won bids that have been awarded to employees. Awarded means the bid items have been added to the employee's schedule and calendar.
  • Bidders tab:
    • Order— The employee's bidding order priority number (according to the procedure set in the auction).
    • Bidder— Bidder's name.
    • Employee ID— Bidder's employee ID.
    • Bids— The number of bids the employee submitted.
    • Bids Won– The number of bids the employee won.
    • Awarded— The number of won bids the employee has been awarded. Awarded means the bid items have been added to the employee's schedule and calendar.
    • Status— The status of the employee's bids – Submitted or Action Required.

      Submitted means the employee has submitted at least the minimum number of bids required for the auction. Action Required means the employee has not yet submitted the minimum number of bids required for the auction. Managers can submit bids on behalf of employees. All Auctions page

The All Auctions page opens when you select View All Auctions on the Manage Auctions tile. You can also access this page from the Auction Summary page by selecting Landing Page. This page contains the following options and information:

  • New Template — Create a new auction template.
  • New Auction — Create a new auction.

Templates tab:

  • Actions Click Tap Edit to edit the auction template.
  • Name— The name of the auction template.
  • Details— The length (in days) of auction items and the maximum winners per item.

Auctions tab:

  • Actions Click Tap Edit to edit the auction. Edit options depend on the status of the auction.
  • Name— The name of the auction.
  • Status— The auction status:
    • Open— The auction is open. All open auctions can be edited, but some attributes of an open auction cannot be edited.
    • Not Started— The auction has not started yet. All edits can be made to an auction that has not started.
    • Resolving— The auction bids are resolving. Editing is not available for auctions with this status.
    • Completed— Auctions are marked completed when the end date and time for bidding has passed. Some auctions in Completed status can be edited if the Period start date for the auction is in the future. Editing a completed auction can be helpful, for example, if you need to extend the Bidding End Date.
  • Bid Progress— Indicates the percentage of employees that have submitted the minimum required bids for the auction.

    To view employees that still need to submit the minimum required bids, click tap the arrow ( ) for the auction and click tap the Bidders tab. Employees are noted with Action Required in the Status column.

  • End Date— The date and time bidding for the auction ends (or has ended).
