Productivity Detailed Hours Daily Report

This Healthcare Productivity Healthcare Productivity allows managers to analyze payroll, volume, and daily labor data so that they can make informed budget and schedule decisions based on metrics for the actual volume, the core scheduling plan, and staffing decisions. Previously, Healthcare Productivity (HCP) was called Healthcare Analytics (HCA). report shows productivity details aggregated daily or over a date range. It is a flat tabular report that lists productivity by work unit Work units (WU) define departments, work groups, and combine business structure nodes or jobs into single entities for productivity analysis. All Healthcare Productivity reports require work units. so that managers can compare productivity between work units daily or over a date range. Totals are identified as favorable and unfavorable based on threshold logic.

The report shows the following:

  • Totals: By Actual hours, Target hours, and Productivity Index.
  • Favorable Totals (green): Based on threshold logic by Actual hours, Target hours, and Productivity Index.
  • Unfavorable Totals (red): Based on threshold logic by Actual hours, Target hours, and Productivity Index.
  • Work Units with Favorable Productivity Index
  • Work Units with Unfavorable Productivity Index

Note: The Analytics & Healthcare Analytics license automatically enables Healthcare Productivity metrics Measures and tracks workforce performance by comparing planned with actual workload or coverage, or by showing variances at any organizational level., however you have to manually enable timekeeping metrics to make these timekeeping metrics available for daily Healthcare Productivity reports.Refer to the Enable timekeeping metrics for Healthcare Productivity help topic.

  1. Select Main Menu  > Dataviews A configurable tool for analyzing data and taking actions on a group of employees or an organization. & Reports > Report Library.
  2. From the Report Library, click tap Run Report .
  3. In the Select Report panel, select Healthcare Productivity > the Productivity Detailed Hours Daily report.
  4. Click Tap Select.
  5. Select the applicable report parameters:

    • Caution: Do not run this report for longer than 31 days.

      Date Range: By default, the Start Date and End Date are set to yesterday's date (today —1). The format is defined by the locale settings.

      • These dates change daily. So, the Start Date and End Dates are always the day before the day of the report run.

        Examples:

        You manually run a report on Tuesday, November 3; the Start and End Dates are Monday, November 2.

        A scheduled report runs on Tuesday, November 10; the Start and End Dates are Monday, November 9.

        A recurring scheduled report runs every Tuesday; the Start and End Dates are the Monday before each run.

      • You can select a different Start Date and End Date for this run of the report.

        Caution: If you change the default Date Range for a recurring scheduled report, those Start and End Dates become fixed for subsequent runs. As a result, the subsequent reports do not show updated data. See the Schedule and Manage Report Jobs topic.

      • In the report output, the Date Range is shown as the Time Period.

    • Work Unit Hyperfind A search engine that filters and selects groups of employees through queries that specify conditions or locations (criteria).: Select one of the following hyperfind queries that contains the appropriate work unit:

      Caution: If the report will be in Excel format, make sure that the report contains no more than 90 work units because spreadsheets cannot contain more worksheets (tabs), and each work unit occupies one worksheet.

      • All My Department Work Units: Show all Department-type work units in the organizational sets that you can access in the business structure.

        Example: If you can access 100 departments, and each department has a corresponding work unit, this hyperfind returns 100 department-type work units.

      • All My Work Units: Show all work units, regardless of location type, in the organizational sets that you can access in the business structure.

        Caution: This hyperfind returns work units of different types that are excluded from reports; the Healthcare Productivity reports show department types only.

        Example: If you can access 2 out of 5 facilities, this hyperfind returns only those 2 facility work units plus all department and work group work units that are in those facilities.

      • Work unit hyperfinds: Select one of the custom hyperfinds.
      • Single Work Unit: Select one work unit.

    • Work Unit: (Available only if you select Single Work Unit in Work Unit Hyperfind) Select the work unit. The list shows only work units that you can access.

    • Target: Select the targets to use in the calculations:
      • Default (default)
      • Alternate
    • (Optional) In Productivity Index Range, do one of the following:
      • Enter a Lower range as a percentage to allow deviations below the productivity values.

        Enter an Upper range as a percentage to allow deviations above the productivity values.

      • Do not select either Lower or Upper ranges to set both to 100% and not allow deviations from the productivity values.

  6. In Output Format, select one of the following:

    Caution: The CSV (comma-separated values) output is not suited for Healthcare Productivity reports because of the complex structure of the reports.

    Note: Healthcare Productivity reports support only PDF, Excel, and Interactive formats; other formats are not supported.

  7. Click Tap Run Report.

    Status indicators

    •  In-Progress: The report is running.
    •  Completed: The report ran successfully without errors.
    •  Failed: The report has errors; check the Run Summary for details. Correct the error and run the report again.

  8. Select the report and click tap the right arrow .

    1. Click Tap View Report.
    2. To modify interactive reports, see the Organize and modify data with interactive viewer topic.

    Note: In Interactive format, the column headers remain fixed in-place when you scroll. However, this is not supported in Internet Explorer.

  9. Select Menu  and one of the following:
    • Enable Interactivity: Select to sort, filter, group, or analyze the data in the table. See the Organize and modify data with interactive viewer topic.
    • Parameters
    • Export Content
    • Export Data
    • Print
Caution:

To calculate productivity metrics accurately, make sure that the following are configured:

  • Days and hours of operation are defined for each facility or department. Departments inherit hours of operation from facilities. See the Hours of Operation topic.
  • Full-time equivalent (FTE) hours are defined for the work units; see the Configure Work Units topic.

At the top of the report

  • Time Period — The time period of the report. The format is defined by the locale settings.

  • Work Unit — The work units that are being reported.

  • Target — The selected target that is used in the calculations.

  • Productivity Index Range — The lower and upper percentage for the productivity values as defined in the input. Default = 100% and above.

  • Current as of — The date when the system data was updated; the data is current on this date.

  • Executed on — The date and time when the report ran.

  • Printed for — The user name — LastName, FirstName — of the person who ran the report.

In the report

Note: The daily target values are resolved on each day instead of only on the last day of the report.

  • Workload Specifies a number of employees needed for a certain job at a certain location over a certain span of time. Statistics
    • UNIT OF SERVICE (UOS) for the work unit
    • VOLUME: Daily Weighted Volume Quantity
  • ACTUAL = Actual hours for the following:
    • OT: Daily Overtime Hours
    • AGENCY: Daily Productive Agency Hours
    • INTERNAL AGENCY: Daily Productive Internal Agency Hours
    • PROD: Daily Productive Hours, includes Regular, Overtime, and Agency hours
    • NON PROD: Daily Non-Productive Hours
    • TOTAL PAID HOURS: Daily Paid Hours = Daily Productive + Daily Non Productive Hours.
    • TOTAL PAID FTEsDaily Paid Hours for actual full-time equivalent (FTE) employees = SUM(Daily Paid Hours) / SUM(Daily FTE Factor * Number of Days).
    • HOURS/UOS: Actual Productive Hours for this work unit for each unit of service = SUM(Daily Productive Hours) / SUM(Daily Weighted Volume Quantity).
  • TARGET hours: 
    • VAR: Daily Variable Productive Hours Target
    • FIXED: Daily Fixed Productive Hours Target
    • TARGET/UOS = SUM(Daily Variable Productive Hours Target + Daily Fixed Productive Hours Target) / SUM(Daily Weighted Volume Quantity).
    • TARGET = Daily Variable Productive Hours Target + Daily Fixed Productive Hours Target.
  • TARGET VARIANCE  = Daily Productive Hours — (Daily Variable Productive Hours Target + Daily Fixed Productive Hours Target).
  • PRODUCTIVITY INDEX:
    • SELECTED PERIOD = (Daily Variable Productive Hours Target + Daily Fixed Productive Hours Target) / Daily Productive Hours.
    • YEAR TO DATE = SUM(Daily Variable Productive Hours Target) + SUM(Daily Fixed Productive Hours Target) / SUM(Daily Productive Hours).
    • PAY PERIOD END DATE: Last end date of the pay period for each work unit
