Schedule and Manage Report Jobs
If you have the appropriate access rights, you can schedule and manage report jobs, including:
- Schedule reports to be run once or at defined intervals, including by hour, day, week, or month.
- Schedule reports to be received by various recipients or even run the report as another person.
Note: People who can schedule a report job can select employees who fall within their organization. In order for a recipient to view the report, the recipient must have Report Page = "Allowed" in his or her Function Access Profile. See your administrator for more information.
- From your Report Library, click tap Reporting Jobs
- In the Reporting Jobs page, click tap Schedule Report
. - In the Select Report panel, select a report and click tap Select.
- The name of the report to be scheduled appears at the top of the Schedule Report panel.
- Enter a unique Scheduled Report Request Name for the scheduled report job.
- In the Report Parameters section, select the applicable parameters.
The available parameters vary by report; examples include:
Timeframe, Reference Date, or Date Range
- Hyperfind A search engine that filters and selects groups of employees through queries that specify conditions or locations (criteria). or Work Unit Work units (WU) define departments, work groups, and combine business structure nodes or jobs into single entities for productivity analysis. All Healthcare Productivity reports require work units. Hyperfind (for Productivity reports)
- Target
- Page breaks
- Output format: PDF, Excel, Interactive, or CSV.
- In the Schedule area select One-Time Schedule Run or Recurring Scheduled Run.
- If a one-time run, select the date and time.
- If a recurring run, click tap the calendar icon
and then select the following in the Recurrence panel: - Depending on the recurrence selected, provide the following information, then click tap Apply.

By Month
Select months — Select the months that the report will run.
Day of month — Select the day of the month that the report will run.
Start date — Enter the day on which the report will start running. Click Tap the calendar icon
to locate a day. To start over, click tap Clear. Start time — Enter the time for the report to run.
End date — Enter the day on which the report will stop running. Click Tap the calendar icon
to locate a date. If you want the report to run indefinitely, click tap Forever. To start over, click tap Clear. -
By Hour
When you select By Hour, the report will run every hour on the date and time specified:
Start date — Enter the day on which the report will start running. Click Tap the calendar icon
to locate a day. To start over, click tap Clear. Start time — Enter the time for the report to run.
End date — Enter the day on which the report will stop running. Click Tap the calendar icon
to locate a date. If you want the report to run indefinitely, click tap Forever. To start over, click tap Clear. -
By Day
Recurrence (days) — Define how daily recurrence occurs. If you select 2, the report will be run every other day, if you select 3, the report will run every third day, and so forth.
Start date — Enter the day on which the report will start running. Click Tap the calendar icon
to locate a day. To start over, click tap Clear. Start time — Enter the time for the report to run.
End date — Enter the day on which the report will stop running. Click Tap the calendar icon
to locate a date. If you want the report to run indefinitely, click tap Forever. To start over, click tap Clear. -
By Week
Recurrence (weeks) — Define how weekly recurrence occurs. If you select 2, the report will be run every other week, if you select 3, the report will run every third week, and so forth.
Schedule — Select the days of the week for the report to run.
Start date — Enter the day on which the report will start running. Click Tap the calendar icon
to locate a day. To start over, click tap Clear. Start time — Enter the time for the report to run.
End date — Enter the day on which the report will stop running. Click Tap the calendar icon
to locate a date. If you want the report to run indefinitely, click tap Forever. To start over, click tap Clear. - If you have the appropriate access rights, you can schedule reports for other people. Enter the appropriate name in the Run As area.
- If multiple manager roles are enabled, select the role to run this report as from Select Role Assignment.
- Manager role attributes can influence report content. For example, the role's employee group controls who is included in the report. If you can only schedule reports for yourself, then your active role is used. If you can schedule reports for others, the role assignment for the Run As user is used. The Run As user and the Report Recipients must belong to the current user’s Employee Group.
- Note: Recipients receive the report as is, regardless of whether they have a Role allowing them to view the content or not.
- In the Report Recipients area, select the people who will receive the report. To search, enter a partial name and select from the listed employees. Note that you must select people one at a time. You must also enter your own name if you want to receive the report.
- Depending on how your access rights, you can select the Send as email attachment check box to send the report (PDF, Excel, or CSV files only) in an email to the recipients selected. When the report is finished, the recipients receive an email that also contains a one-click navigation URL to access the report.
- Note the following:
- Attachments must be smaller than 10 MB in size. If the attachment is larger than 10 MB, the email is sent to the recipients but without the attachment.
- The body of the email includes: report name, status, error details, job name, scheduled job details, and run as user.
- You cannot send email attachments to a distribution list. The recipients must have an email address defined in their person record.
- If you schedule a report to be sent as an email attachment, review the following warning before scheduling the report:
- Selecting this option will deliver the report as an email attachment. The report may include personal information. Do you wish to continue?“
- Click Tap Schedule Report.
- Click Tap X to exit the Schedule Report panel.
In the Schedule Report page, click tap Schedule Report Job to view the status of the new job.
When the job finishes, a success or failure message appears.
- If the job was successful, click tap OK and then open or save the report file.
- If the job failed, you have the choice of saving or deleting the report.
- If you save the report, it is listed in the .Reports Library with a failure icon. Click tap the > icon to open the report panel. Here you can:
- Delete the report
- Re-run the report. If you click tap Re-Run, the report parameters opens in the panel. You can review and modify the parameters and then click tap Run Report.
When finished, click tap My Reports
You can run a scheduled job immediately, monitor scheduled jobs, and change scheduled jobs.
- Without making changes to the job’s normal schedule, you can have the job run immediately, just this once.
- The report continues to run as scheduled.
A list of all report jobs you have scheduled appears in your Report Library page. At a minimum the following attributes are listed for each job:
- Job name
- Report name
- Type
- Request schedule
- From Report Library, select or search for a scheduled report job.
- Click Tap Reporting Jobs
- In the Reporting Jobs page, select the report and click tap the right arrow
. - Edit the job attributes as described in Schedule report jobs
From Report Library, select or search for a scheduled report job, then click tapDelete.
The report is removed from the job list, and recipients no longer receive the report.
If you are sent a PDF, Excel, or CSV report via an email, the One-Click navigation link appears in the message. Click the link to open the report.
Note: Interactive reports cannot be sent via email.
Select the Control Center icon. The reports that have been sent to you are listed and include the following information:
- Person who scheduled the report.
- Date and time of the report
Select one of the following:
- Review. A message appears that indicates you successfully reviewed the job.
- Delete.
- GoTo. The recipient's Report Library page opens with a message to open the report.
