Configure the Agency Export and Import for Healthcare Productivity

The Agency Export and Import integrations export and import daily transactional data to roll up to pay periods for agency employees separately from that of regular employees. These integrations provide data for productivity analytics so that you can monitor and control the costs of agency labor.

Note: The Agency Export integration processes hours that are worked by agency employees in a different work unit Work units (WU) define departments, work groups, and combine business structure nodes or jobs into single entities for productivity analysis. All Healthcare Productivity reports require work units. rather than their primary location as Agency hours and not Float In hours.

  1. Configure the Data Access Profile (DAP) to give access to paycodes A category of time or money that employees earn, for example, Regular Hours, Bonus, or Sick. for the Agency Export and Import integrations as follows:
    • Click Tap Main Menu  > Administration > Application Setup > Access Profiles > Data Access Profiles > Paycodes. 
    • For instructions, see Paycode Data Access Profile.
  2. Configure the Function Access Profile (FAP) to give Manager—System Configuration access to Application Setup > KPI Key Performance Indicator measures the result of an activity in an organization so that you can compare it to operational or strategic goals and attempt to improve performance. Builder > Healthcare Productivity Healthcare Productivity allows managers to analyze payroll, volume, and daily labor data so that they can make informed budget and schedule decisions based on metrics for the actual volume, the core scheduling plan, and staffing decisions. Previously, Healthcare Productivity (HCP) was called Healthcare Analytics (HCA). > Agency Definition. See Configure Access to Healthcare Productivity.
  3. Configure paycodes, assign labor types to people, and map pay rules to agency labor types; see Configure Labor for Healthcare Productivity.

Create a hyperfind A search engine that filters and selects groups of employees through queries that specify conditions or locations (criteria). that contains all of the pay rules that are assigned to the agency labor types.

Caution: If this hyperfind is not configured, the integration uses the All People hyperfind.

  1. Select Main Menu  > Administration > Application Setup > Common Setup > Hyperfinds.

    Note: See Hyperfind Queries for detailed instructions for all options.

  2. Click Tap Create .
  3. In Description, enter Agency Employees.
  4. Select Timekeeper > Pay Rules.
  5. Click Include.
  6. Select the pay rule that is assigned to the Agency labor type from the Pay Rules list.
  7. Click Add.
  8. Repeat for more agency pay rules.
  9. Click Tap Apply.
  10. Click Tap Save.

Configure an integration set A sequence of integrations that can be run on-demand or be scheduled. for agency payroll as follows:

  1. Make sure that the Agency Export and Agency Import integrations are installed. See the Install Healthcare Productivity Integrations topic.
  2. Group and schedule the payroll and agency integrations into an integration set in the following order. See the Configure Integration Sets for Healthcare Productivity topic.
    1. Import payroll: Payroll integration.
    2. Export agency: AgencyExport integration.
    3. Import agency: AgencyImport integration.

Typically, pay details — such as employment status and payroll job — for agency workers are reported separately from the details for regular employees. To include the agency and regular workers in the same custom payroll reports, import the generic job mapping, configure the payroll job mapping import to provide the primary or paid job details for agency workers, and recalculate the agency hours as follows.

Example: Custom reports such as Pay Period Payroll Analysis and Pay Period Payroll Analysis by Work Group can show which paycodes and jobs were worked by agency workers or by regular employees.

  1. The Payroll Employment Status Mapping is pre-configured as follows:
    • Payroll Employment Status Code = AGENCY
    • Payroll Employment Status Description = AGENCY
    • Payroll Source = DimensionPayrollSource
    • Analytics Labor Type = Agency
    • Delete Switch = 0

    You do not need to complete any action to configure this mapping.

  2. Install the Payroll Job Mapping Export integration template as follows:

    1. Select Main Menu  > Administration > Application Setup > Integrations Setup > Install Integrations.
    2. In the Integration Template table, select PayrollJobMappingExport-v1.
  3. Run the Payroll Job Mapping Export integration to export the current payroll job mappings to a CSV file.

    1. Select Main Menu  > Maintenance > Integrations.
    2. Click Tap Run an Integration . 
    3. Select the Payroll Job Mapping Export integration and click tap Select.
    4. Copy the current Job Names and Labor Category Entries to new rows. Enter DimensionPayrollSource in Payroll Source for the new rows.

  4. Install the Payroll Job Mapping Import integration template:

    1. In the Integration Template table, select PayrollJobMappingImport-v1.
    2. Select Main Menu  > Administration > Application Setup > Integrations Setup > Install Integrations.
  5. Run the Payroll Job Mapping Import integration as follows:

    1. Select Main Menu  > Maintenance > Integrations. 
    2. Click Tap Run an Integration . 
    3. Select the Payroll Job Mapping Import integration. Click Tap Select.
    4. Click Tap Run Integration.

  6. Configure standard hours Non-overtime hours that each employee is expected to work. for agency workers as follows:
    1. Select Main Menu  > Maintenance > People Information.
    2. Select the agency worker.
    3. Select the Scheduler tab.
    4. In Per Pay Period, enter the standard number of hours for each pay period. Example: 80:00.
    5. Click Tap Save .
    6. Repeat for other agency workers.
  7. Make sure that the Agency and Agency and Payroll parameters are available in the Healthcare Productivity integration list parameters. See the Configure Integration List Parameters for Healthcare Productivity topic.
  8. Install the Agency Recalculate integration as follows:

    Note: For detailed instructions, see the Install Healthcare Productivity Integrations topic > Install the Recalculate integration section.

    1. Install Select Main Menu  > Administration > Application Setup > Integrations Setup > Install Integrations.
    2. In the Integration Template table, select Recalculate-v1.
  9. Run the Agency Recalculate integration as follows:

    Note: For more information, see the Recalculate Healthcare Productivity topic > Recalculate agency data > For a date range section.

    1. Select Main Menu  > Maintenance > Integrations. 
    2. Click Tap Run an Integration . 
    3. Select the Recalculate integration and click tap Select.
    4. In Domain, select Agency.
    5. Select the Start Date and End Date. The date range can be a maximum of 366 days.
    6. Click Tap Run Integration.
