Configure Shift Profiles

Shift profiles apply rules to shift start and end times and length in order to enable schedules to comply with business needs.

Shift profiles define

  • Start Time – Minimum and Maximum
  • End Time – Minimum and Maximum
  • Length of Time – Standard, Minimum, and Maximum
    Important: For manual shift edits, Scheduler uses only Minimum or Maximum lengths to determine whether to trigger rule violations, and ignores the Standard length.

Shift profiles can support

  • Scheduling laws that use start and stop time and shift length to affect pay
  • Control of start and end times of open shifts that the Schedule Generator generates
  • With employee rules, control of shifts that the Schedule Generator assigns
  • Types of open shifts
    Tip: For best performance, use Shift Profile Sets for Open Shifts to limit the available number of Shift Profile Sets.

    Example: One shift profile set defines full-time shifts. Another defines part-time shifts. Configure Shift Profile Sets (Relative Parts) to create twice as many part-time as full-time shifts.

Create shift profiles

Note: As a best practice to improve the Schedule Engine batch task processing time, it is recommended that you configure fewer Shift Profiles that cover an extended duration in hours instead of configuring Shift Profiles that are broken down into 15-minute intervals. For example, instead of having multiple Shift Profiles that are configured for each 15-minute interval, you could create only two Shift Profiles, each having a longer duration to cover all the 15-minute intervals, to significantly improve the processing time.
  1. Select Administration > Application Setup > Scheduler Setup Shift Profiles.
  2. Create, edit, or activate a shift profile.
    • Click New.
    • Select a profile to copy. Click Duplicate.
    • Select a profile to change. Click Edit.
    • Select All or Inactive from Filter. Select a deactivated profile. Click Activate. Click Save.
    • Select All or Active from Filter. Select an active profile. Click Inactivate. Click Save.
    • Select a profile to remove. You cannot delete a shift profile that is assigned to a shift profile set. Click Delete. Click Yes to confirm.
  3. Enter a Name.
  4. (Optional) Enter a Description.
  5. In Start Time, enter the Minimum (earliest) and Maximum (latest) start time of the shift, in HH:mm.
  6. In End Time, enter the Minimum (earliest) and Maximum (latest) end time of the shift, in HH:mm.
  7. In Length of Time, enter:
    • Standard: Duration (HH:mm) of standard shift (Example: 8:00 for an 8-hour shift)
    • Minimum: Shortest duration (HH:mm) of the shift
    • Maximum: Longest duration (HH:mm) of the shift
      Important: The Length of Time values must include break times. Example: For an 8-hour shift with a 1-hour break, enter 9:00 for a Standard shift.
  8. Click Save & Return.
