Configure Custom Tiles

ADP Workforce Manager supports several custom tile types, which can be loosely grouped into two categories: general use tiles, and tiles intended for managers.

Tiles for general use

• Embedded Content — embeds content from another application in the tile.
• External URL — opens an external URL on a new tab. You can specify multiple URLs on an External URL custom tile.
• Internal URL — opens an internal URL on a new tab. You can specify multiple URLs on an Internal URL custom tile.
• My Accruals — displays accruals balances
• Employee Insights — highlights information that is important to front-line workers, such as recommendations for changing availability

Tiles for managers

• Overtime Analysis — allows a manager to monitor the use of overtime (for Analytics only)
• Absence Analysis — allows a manager to monitor unplanned absenteeism (for Analytics only)
• Analytics Viewer — allows managers to monitor critical information
• Healthcare Productivity — allows managers to review productivity variances that are above or below a threshold; see the Configure the Daily Productivity Tile and Configure the Variance Advisor Tile topics for more information.

Each custom tile type has different configuration requirements and options. See the procedure for the tile type you want to create for more information.

Both External URL and Internal URL custom tile types allow you to specify multiple URLs on a single tile. This functionality is supported for new External URL and Internal URL custom tiles, as well as for any existing External URL and Internal URL custom tiles already in your system; that is, you can edit an existing External URL or Internal URL custom tile to add additional URLs.

You can create an unlimited number of URLs for these custom tile types. The system adds a scroll bar to the tile if there is not enough room to display all the URLs you have defined.

URLs must be of the type for which the tile is intended. That is, you cannot specify external URLs on the Internal URL custom tile type, or vice versa. See Create an External URL custom tile and Create an Internal URL custom tile for more information.

Configure access so that the administrator can add, edit and delete custom tiles as follows:

1. Click Tap Main Menu  > Administration > Application Setup > Access Profiles > Function Access Profiles. 
2. Create or edit a profile.
3. Select Manager — System Configuration.
4. In Custom Tile, select Allowed for Access Scope.
5. Click Tap Save.

1. Click Tap Main Menu  > Administration > Application Setup > Common Setup > Custom Tiles.
2. Click Tap Create . 
3. In Name, enter a unique name. The name is for tile administration purposes; it is not displayed on the tile.
4. In Label, enter the label you want to display at the top of the tile.
5. In Tile Type, select Embedded Content.
6. Icon: Leave it blank.
7. Content Provider: Leave it blank.
8. URL: Enter the URL as a fully qualified domain name (FQDN) to the location of the content. The URL must be an absolute path and use HTTPS.
9. Navigation: (Optional) Select this field if you want to display navigation details in the bottom-right corner of the tile. Then, configure the following:

   • Navigation Type: Select the type of display to show the embedded content. Select New Tab to open the content in a new browser tab or Navigate to display a link to the content.

     Caution: Do not select Pop Up or Slider.

   • Navigation Menu: Enter a label for the menu.
   • Navigation Label: Enter a label for the tile.
   • Navigation URL: Enter the URL. Normally, this is the same address as in URL.
10. Click Tap Save.

Note: This feature is released with limited availability. Contact your ADP representative for more information.

Note: To create an Employee Insights custom tile, you must first enable the Employee Insights feature switch. See Feature Switch for more information.

Employee Insights recommendations are provided by Bryte AI. Bryte AI leverages historical data based on the parameters you specify when configuring the tile to evaluate its recommendations.

1. Click Tap Main Menu  > Administration > Application Setup > Common Setup > Custom Tiles.
2. Click Tap Create . 
3. In Name, enter a unique name. The name is for tile administration purposes; it is not displayed on the tile.
4. In Label, enter the label you want to display at the top of the tile. If this field is left blank, the system uses the name you specify as the label.
5. In Tile Type, select Employee Insights.
6. In Minimum Time Between Insights , enter the number of days you want the system to wait before refreshing the recommendations displayed on the tile. A new refresh cycle starts when the employee either accepts or dismisses the current recommendation. The default is 28 days. The minimum is 7 days.
7. In Lookback Period, enter the number of weeks of historical data you want the Bryte AI engine to use when making recommendations. The default is 4 weeks.
8. In Minimum Availability Recommendation Timespan , enter the length of time, in hours, an availability recommendation must meet or exceed for the recommendation to be made to the employee. The default is 4 hours.
9. For example, if this value is set to 5, the system ensures that recommendations to the employee to change their availability would be at least 5 hours; recommendations change their availability to include 3-hour shifts would not be given, but recommendations to change their availability to include 6-hour shifts would.
9. In Existing Availability Overlap Threshold, enter the value you want the system to use to determine whether to display availability recommendations to the employee. Internally computed recommendations that are at or below the specified threshold value are displayed; recommendations that exceed the threshold value are not. This setting results in the system promoting only those recommendations that would usefully expand an employee’s availability, eliminating recommendations that are of insufficient value to the employee. The default setting is 50%.

10. The system uses this algorithm to determine whether a recommendation falls below or above the specified threshold:

    [Total available overlapping hours] / [Total recommended hours]

    Note: When calculating availability recommendations, the system uses the request period defined for the employee, up to a maximum of 6 weeks, to gather data for its projections.

    See Example for more information on the computations performed by the algorithm and the source of the data that is used.

10. Click Tap Save.

11. Note: You can configure multiple Employee Insights custom tiles, but only one Insights tile can be added to a Home page.

    Example

    Consider this scenario:

    • The Existing Availability Overlap Threshold value is set to 60%
    • The system has calculated an availability recommendation of 5:00PM to 9:00PM (4 hours)
    • The system uses a horizon of 4 weeks for its projection based on the request period defined for the employee
    • The employee’s current availability is 8:00AM to 7:00PM
    • The overlap between the employee's existing availability and the availability recommendation calculated by the system is 2 hours (from 5:00PM to 7:00PM)

    The threshold algorithm uses the data gathered from these factors to calculate the threshold:

    • [Total available overlapping hours] = 2 (overlap hours) x 4 (projected weeks) = 8
    • [Total recommended hours] = 4 (calculated availability recommendation) x 4 (projected weeks) = 16
    • 8/16 = 50%

    As a result, the system would recommend that the employee revise their availability to include 5:00PM to 9:00PM (4 hours).

1. Click Tap Main Menu  > Administration > Application Setup > Common Setup > Custom Tiles.
2. Click Tap Create . 
3. In Name, enter a unique name. The name is for tile administration purposes; it is not displayed on the tile.
4. In Label, enter the label you want to display at the top of the tile.

   Note: The tile displays only one label, regardless of the number of URLs you define for it.

5. In Tile Type, select External URL.
6. In URL, enter the URL as a fully qualified domain name (FQDN) to the location of the specific application or web site.

   Note: The URL must start with https:// or http://.

7. In URL Text, enter user-friendly text to represent the URL. The URL text is limited to 50 characters.
8. (Optional) In Description, enter text to display as a label for the URL. If you do not enter a value in this field, only the value in URL Text is displayed on the tile. The description is limited to 150 characters.
9. (Optional) To add other URLs to the tile, in Additional URLs click tap Add  and then enter values in the Create URL dialog box:
   1. In URL, enter the URL as a fully qualified domain name (FQDN) to the location of the specific application or web site.

      Note: The URL must start with https:// or http://.

   2. In URL Text, enter user-friendly text to represent the URL.
   3. (Optional) In Description, enter text to display as a label for the URL. If you do not enter a value in this field, only the value in URL Text is displayed on the tile.
   4. (Optional) Repeat this step for any additional URLs you want to display on this tile.
10. (Optional) To change the order of the URLs as they will be displayed on the tile see Changing the order of multiple URLs on a tile.

11. Note: You can change the order of only any additional URLs that you specify. The first URL you configure for the tile is always displayed first and cannot be changed.

11. Click Tap Save.

Note: Web sites are displayed on a new tab in the current browser when a link on the tile is clicked.

1. Click Tap Main Menu  > Administration > Application Setup > Common Setup > Custom Tiles.
2. Click Tap Create . 
3. In Name, enter a unique name. The name is for tile administration purposes; it is not displayed on the tile.
4. In Label, enter the label you want to display at the top of the tile.

5. Note: The tile displays only one label, regardless of the number of URLs you define for it.

5. In Tile Type, select Internal URL.
6. In URL, enter the relative path of the internal resource you want to make available on the tile. For example: /timekeeping/myTimecard.
7. In URL Text, enter user-friendly text to represent the URL. The URL text is limited to 50 characters.
8. (Optional) In Description, enter text to display as a label for the URL. If you do not enter a value in this field, only the value in URL Text is displayed on the tile. The description is limited to 150 characters.

9. (Optional) To add other URLs to the tile, in Additional URLs click tap Add  and then enter values in the Create URL dialog box:

   1. In URL, enter the relative path of the internal resource you want to make available on the tile.
   2. In URL Text, enter user-friendly text to display instead of the URL.
   3. (Optional) In Description, enter text to display as a label for the URL. If you do not enter a value in this field, only the value in URL Text is displayed on the tile.
   4. (Optional) Repeat this step for any additional URLs you want to display on this tile.
10. (Optional) To change the order of the URLs as they will be displayed on the tile see Changing the order of multiple URLs on a tile.

11. Note: You can change the order of only any additional URLs that you specify. The first URL you configure for the tile is always displayed first and cannot be changed.

11. Click Tap Save.

Note: Web sites are displayed on a new tab in the current browser when a link on the tile is clicked.

The Overtime Analysis Tile allows a manager to monitor the use of overtime, within their primary location, to quickly identify issues that could lead to unwanted labor costs. Analytics must be configured to use this tile.

1. Click Tap Main Menu  > Administration > Application Setup > Common Setup > Custom Tiles.
2. Click Tap Create . 
3. In Name, enter a unique name. The name is for tile administration purposes; it is not displayed on the tile.
4. In Label, enter the label you want to display at the top of the tile.
5. In Tile Type, select Overtime Analysis.
6. Target: Select the predefined target of the primary metric or KPI that is displayed in the tile.
7. Threshold: Select the predefined threshold of the primary metric or KPI that is displayed in the tile.
8. Dataview: Select the Dataview to link to from the tile.
9. Click Tap Save.

The Absence Analysis Tile allows a manager to monitor unplanned absenteeism within their primary location to quickly identify issues that could lead to productivity challenges. Analytics must be configured to use this tile.

1. Click Tap Main Menu  > Administration > Application Setup > Common Setup > Custom Tiles.
2. Click Tap Create . 
3. In Name, enter a unique name. The name is for tile administration purposes; it is not displayed on the tile.
4. In Label, enter the label you want to display at the top of the tile.
5. In Tile Type, select Absence Analysis.
6. Target: Select the predefined target of the primary metric or KPI that is displayed in the tile.
7. Threshold: Select the predefined threshold of the primary metric or KPI that is displayed in the tile.
8. Time Period: Select the a standard time period or date range for the data that is displayed in the tile.
9. Dataview: Optionally select the Dataview to which the tile links.
10. Click Tap Save.

The My Accruals tile allows an employee to see their accrual balances directly on the Home page.

1. Click Tap Main Menu  > Administration > Application Setup > Common Setup > Custom Tiles.
2. Click Tap Create . 
3. In Name, enter a unique name. The name is for tile administration purposes; it is not displayed on the tile.
4. In Label, enter the label you want to display at the top of the tile.
5. In Tile Type, select My Accruals.
6. Select Accrual Codes for Tile Display (max 10): Select the Accrual Codes from the list that you want to display in the tile. You can select a maximum of 10 codes.

Note: The accrual codes that are available for display on the tile are determined by the accrual codes specified on the Accrual Profile assigned to the employee. If you select an accrual code here that has not been configured on the employee's Accrual Profile, balances for that accrual code are not displayed on the tile. See Accrual profiles for more information.

7. Balance Type: Select the Available or Current Vested Balance
8. Call To Action: Optionally, select for the Request Time-Off button to appear in the tile. Subsequently, if the user clicks the button in the tile, the Request Time-Off panel opens.
9. Select Additional Data (Select up to 4): Select from a curated list of metrics to be displayed in the tile. The administrator can change the metric names to reflect their workplace metrics.

Note: Metric data is retrieved from persisted values in the database. Some values may take time to update.

10. Click Tap Save.

An Analytics Viewer tile is a custom tile that is defined by an administrator that allows managers to monitor critical information within their primary location from the Analytics component. Each Analytics Viewer tile to which a manager has been assigned provides quick access to data for a primary KPI or metric and its supporting KPIs and metrics. If targets have been defined for the KPI and assigned to each user's primary location, the manager can see an indication of their performance.

A trend chart or job chart can be displayed, depending on the configuration, to allow the manager to interpret the data visually. The manager can change the time period or location that is displayed in the viewer as needed.

Notes:

• Analytics must be configured for data to be visible in an Analytics Viewer tile.
• A trend chart always returns data for the last four weeks by week, regardless of the time period that is selected by the user.
• Custom-defined labels that are used in the tile are not translated. These labels cannot be translated using the Translation Customization Toolkit.
•  Fields:
  
  
  1. Primary KPI/Metric: Select a primary KPI or metric from all available KPIs and metrics and define the label that is displayed by the tile. You can select only one primary KPI or metric.
  2. Target: If a target has been defined for the Primary KPI/Metric, it is automatically selected in this field.
  3. Threshold: If a threshold has been defined for the target, it is automatically selected in this field.
  4. Secondary KPI/Metrics: Select up to four supporting KPIs or metrics from all available KPIs and metrics and define the labels that are displayed by the tile. You can also define the display order of the supporting KPIs or metrics.
  5. Chart Type: Select the type of chart - Job or Trend - that the tile will display for the selected primary KPI or metric.
  6. Dataview: Optionally select the Dataview to which the tile links. The admininistrator must ensure that the users who receive an Analytics Viewer tile on their Home page have an assigned Dataview Profile that includes the selected Dataview.
  7. Time Period: Select the a standard time period or date range for the data that is displayed in the tile.

Once you have created one or more custom tiles, you can make them available to employees to add to their Home page.

1. Set up the display profiles and home pages of the people who need to see the custom tile:

   See the Assign a Home Page to a Display Profile and the Edit a Home page topics for more information.

2. Log in as the person and make sure that you see the custom tile on the home page.
3. Repeat for other users.

Employees wishing additional information on managing tiles on their home page should refer to Manage tiles.

Use this procedure edit a custom tile.

1. Click Tap Main Menu  > Administration > Application Setup > Common Setup > Custom Tiles.
2. Select the tile you want to edit.
3. Click Tap Edit .
4. The Edit <tile name> page appears.
4. Select one of the following:
   • Save changes everywhere that the named entity is used — Save the changes to all installations of the current tile.

   • Note: You cannot change the custom tile type using the option.

   • Save as a new named entity — Save the changes as a new tile.
5. Make the changes you want.
6. Click Tap Save.

Changes you make to the tile are displayed when the browser is refreshed.

You can change the order of the URLs you have configured for External URL or Internal URL custom tile types. You can do this while you are creating a new custom tile or editing an existing one.

Note: You can change the order only of any additional URLs that you specify. The first URL you configure for the tile is always displayed first and cannot be changed.

To change the order of the URLs as they will be displayed on the tile:

1. Click Re-order Selection . Then, in the URL Order window:

2. Select the URL whose position on the custom tile you want to change.

3. Select the button to move the URL in the appropriate direction.

   Move up one position

   Move down one position

   Move to the top of the list

   Move to the bottom of the list

4. Click Tap Save Order.

Note: You cannot delete a tile that is currently in use.

Use this procedure to delete a custom tile.

1. Click Tap Main Menu  > Administration > Application Setup > Common Setup > Custom Tiles.
2. Select the tile you want to delete.
3. Click Tap Delete .
4.  Click Tap Yes to confirm.
