Configure Staffing Dashboards
A Staffing Dashboard gives you quick access to your daily staffing plan so that you can make adjustments to your schedule when unforeseen events occur, such as when an employee calls in sick, or when an unplanned event requires extra or fewer staff during a scheduled time period. You can operate optimally across departments or units with your available budget and staffing resources. Note, however, that it is a tool for daily operations, and it does not take the place of the Schedule Planner.
The Staffing Dashboard reflects changes to the schedule that are made, for example, in the Schedule Planner. Changes made to shifts in the Staffing Dashboard are reflected in the schedule as well.
After you define a Staffing Dashboard, you assign it to a Staffing Profile, which is then assigned to a Display Profile. Each employee and manager is assigned a Display Profile in the People Information component.
- Navigate to Main Menu
> Administration > Application Setup > Staffing Setup > Staffing Dashboard. - Click Tap Create
or select an existing Staffing Dashboard and click tap Edit . Note: To delete a Staffing Dashboard, select one from the list and click tap Delete
. - Enter or change the Name. If you are editing an existing Staffing Dashboard, select one of the following:
- Save changes everywhere that the named entity is used — This option changes the selected Staffing Dashboard.
- Save as a new named entity — This option creates a new Staffing Dashboard based on the selected one. If you select this option, you must provide a new name.
- (Optional) Enter a Label to appear at the top of this Staffing Dashboard. The Label is also used as a link to this Staffing Dashboard from Main Menu
> Schedule. Note: A Staffing Dashboard with no Label defined displays the Name instead.
- (Optional) Enter a short Description describing the purpose or assignment of this Staffing Dashboard.
- Select the Default Location to display in the dashboard:
- None — The Staffing Dashboard opens with no data displayed in the context. You can then select the data and locations that you need to work with.
- All Home Locations — Shows all the areas in your organization set.
- Select Locations — Enables you to choose specific locations. In Location, click tap Select Locations. Select the check box for each location you want, then click tap Apply.
- Select a Location Type.
- Your organizational group
- The selected Location Type
- The Location selected in the Staffing Dashboard
- To choose which shift sets or zone sets to show in the Staffing Dashboard, in Time Span:
- Select All Day to see all the shifts and zones for your locations. All Day runs from midnight to midnight.
- Select a specific shift set or zone set from the list.

To choose which jobs to show in the Staffing Dashboard, in Job:
- Select All Jobs to see all jobs in your location.
- Select a specific job from the list.
- To change the display name of the employee pool (for example, if you want to name it Available Employees), enter the new name in Rename Employee Pool.
- To use a specific procedure set for assigning open shifts, select one in Procedure Set to Assign Shift.
- In Staffing Dashboard Dataview, select the dataview for the Staffing Dashboard. Available dataviews are those that are included in your display profile.
- In Staffing Indicator Type Display, click tap one or more visual indicators to show in the Staffing Dashboard (a check mark appears) or to hide (the check mark disappears). Current Assigned shows the resultant list of indicators that appear.
- Specify the maximum number of violations to display in the Staffing Dashboard. To improve performance, set a lower value for the following fields. For live access to more data, set a higher value.
- Maximum number of violations to control the total number of displayed rule violations in the loaded period.
- Maximum number of violations per employee to control the total number of displayed rule violations in the loaded period for each employee.
- Maximum number of violations per job to control the total number of displayed rule violations in the loaded period for each job.
- In Employee Rules, click tap one or more configured employee schedule rules to display in the Staffing Dashboard (a check mark appears) or to hide (the check mark disappears). Current Assigned shows the resultant list of rules that appear.
- In Location Rules, click tap one or more configured location schedule rules to show in the Staffing Dashboard (a check mark appears) or to hide (the check mark disappears).Current Assigned shows the resultant list of rules that appear.
- Select any of the following options:
- Select Display Coverage Values to show all coverage values in the dashboard.
- Select Display Employee Photos displays a photo next to the name of each employee in the dashboard.
- Select View Transfer Set Employees to include the manager's transfer set employees in the dashboard.
- Adjust breaks automatically enables the system to automatically adjust break times — based on Automated Break Placement rules configured in employees' default work rules — whenever shifts are created, modified, or moved by adding a shift or paycode. When this setting is selected, the Assign Breaks option in the Add Shift and Add Paycode sliders is selected by default.
Adjust breaks automatically for Quick Actions and glances enables the system to automatically adjust break times — based on Automated Break Placement rules configured in employees' default work rules — whenever shifts are created, modified, or moved using actions in the Quick Actions and glances in the Staffing Dashboard. When this setting is selected, the Assign Breaks option in the Insert Shift Template slider is selected by default.
When selected, the staffing dashboard will include unscheduled employees who have any of the selected locations/jobs in their job transfer set as part of the employee pool. When disabled, only unscheduled employees whose primary job matches the selected context get pulled into the employee pool.
- To display locations that are not of the specified Location Type, enter the keyword or location path in List of locations from other location type.
- For best results, use the asterisk (*) wild card.
- To use multiple keywords, separate the keywords with a semicolon (;).
- Location path is case-insensitive.
- To use multiple location paths, separate the location paths with a semicolon (;).
- In Pay Codes to Hide, click tap one or more pay codes that you do not want to show in the Staffing Dashboard. A check mark indicates the pay code is hidden, and no check mark indicates the pay code is shown.Current Assigned shows the resultant list of pay codes that are hidden.
- Select a setting in Apply Shift Filter to filter the display of employees' shifts in the Staffing Dashboard based on coverage rules:
- All Shifts — All employees that have a shift that intersects the selected time span are displayed.
- Coverage Setting — Only employees that have a shift that counts towards coverage for the selected time span are displayed. Employees who have a shift that intersects the time span without contributing to coverage are displayed in the Available Employees tile.
- Select Compact View to display that view by default when the Staffing Dashboard is opened.
- Entity Coloring — Select one or more items that you want to display colors for in the Staffing Dashboard.
- Shifts
- Jobs
- Coverage
Colors displayed for Undercoverage, Overcoverage, and Variance match the colors that have been configured in Scheduler Setup > Location Settings > Coverage Counting. Coverage counting must be assigned to the correct locations for the configured colors to display. If Coverage Counting is not configured for the selected location, default background colors are displayed: Pink for Overcoverage, Green for Undercoverage, and White for Perfect Coverage.

Colors displayed for jobs and shifts are determined by the configuration in Business Structure Setup > Jobs and Business Structure. The colors for each job are defined under Manage Jobs. Colors that are specified under Manage Locations take precedence over the job’s specified color.

- Notify employees of changes to posted schedule — When a posted schedule is changed, you can control how or if affected employees are notified by selecting one of the following:
- Automatic — Employees are automatically notified.
- No action — Employees are not notified.
- Prompt at save — The following warning displays when a manager changes a posted schedule:
- This action can send notifications of this update to all employees whose posted schedule is affected. Do you want to continue?
- The manager can then select from the following:
- Save & Notify — Save the schedule changes and notify employees.
- Save & Do Not Notify — Save the schedule changes, but do not notify employees.
- Cancel — Do not save the schedule changes.
Note: This option is available only if the Schedule Change Notification from Staffing Dashboard feature switch is enabled.
- Unit Panel Additional Data — Select data to display in the Unit panels:
- Worker Type Abbreviation — Displays the configured worker type abbreviation and color for employees. For more information, see Worker Types.
Note: This option is available only if the Display Additional Data in Staffing Dashboard feature switch is enabled.
- Employee Pool Additional Data — Select data to display in the Employee Pool:
- Worker Type Abbreviation — Displays the configured worker type abbreviation and color for employees. For more information, see Worker Types.

- Click Tap Save.
This selection affects what can be displayed in the Staffing Dashboard. For example, if you select Division as your location type, only the locations that are configured as divisions are displayed.
The Staffing Dashboard does not show a mix of location types. Example: You cannot view both departments and units at the same time. If you select Department, and there are two units under the department, the department displays with a summary of the units’ coverage. To see unit details, you must change your Location Type preference to Unit.
All the Locations Types that have been defined for your organization are included in the list, and not just those to which you have access in your organizational group.
The locations that you see in the Staffing Dashboard depend on:
Example: Sally Smith has Hospital A in her organization set. She can see all jobs in the Units under that location: Floor 1, Floor 2, and Floor 3. When Sally selects Hospital A as the location in the Staffing Dashboard, all of the departments under Hospital A are shown; in this example, ER, Pediatrics, Maternity, and ICU. If Sally selects Labor and Delivery, all of the departments under Labor and Delivery are shown. In this example, there are no departments under Labor and Delivery; therefore, the Staffing Dashboard is empty.
The information based on the specified dataview is displayed in the tooltips and glances for employees in the Staffing Dashboard.

The Compact View displays two rows of unit tiles in the Staffing Dashboard. The tiles are smaller, but you can see more information displayed on the screen at once. If this option is not selected, the view defaults to the Full View, which displays one row of unit tiles.
