Proactive Compliance: Overtime Alerts and Notifications
You can configure alerts to notify managers and employees when they are approaching overtime, when overtime has been reached, and when an employee has an upcoming required meal-break.
Alerts are configured using overtime rules in the following Timekeeping Alert types:
- Overtime Approaching – Create an alert to notify employees and managers when overtime is approaching or when an employee has an upcoming required meal-break. This alert is based on the specified overtime rule. Also specify the number of hours before overtime is reached that the manager or employee receives the alert notification.
- Overtime Reached – Create an alert to notify employees and managers when overtime has been reached. This alert is based on the specified overtime rule.
Notifications appear in the Control Center, and can be configured for email and push notifications. The following preconfigured notifications are available for selection when configuring Timekeeping Alert types:
- For Overtime Approaching, Manager notified – Emp Approaching OT and Employee notified – Approaching OT
- For Overtime Reached, Manager notified – Emp Reached OT and Employee notified – Emp Reached OT
- For Meal-Break Notification, Manager notified – Emp Approaching Meal Break and Employee notified - Approaching Meal Break
You can also use the custom tags Hours Before and Overtime Rule if you are creating your own generic workflow notification Informs people to run business processes or integrations, complete forms, or respond to events in business processes. Example: Approve a time-off request.. These can be found in the Timekeeping Group when creating or editing generic workflow notifications.
- Define overtime criteria.
- Configure Overtime Rules.
- Associate Overtime Rules with the appropriate Work and Pay Rules (by using combination rules).
- Assign Pay Rules to employees in People Information.
- Configure the alert.
- Create (or edit) a Timekeeping Alert Profile and add the necessary Alert Profile Configurations for the type of alert you need (Overtime Approaching or Overtime Reached). The overtime rules that are associated with the Work and Pay rules should be the same as the Overtime Rule specified for the timekeeping alert type.
- When using the Overtime Approaching or Overtime Reached alert types, the employee's Work Rule must contain a Punch The entries on a timecard that mark the beginning (in-punch) or end (out-punch) of a work interval, such as the beginning of a shift or transfer. Round Rounding is a way to simplify payroll accounting and reporting, and to enforce shift start and end times. Punch rounds divide hours into equal segments of an hour. Rule with Use Scheduled Time unchecked in the Missed Punch section.
- Associate the Timekeeping Alert Profile with the employee’s Display Profile (assigned in People Information).
Note: Only one notification (Manager notified – Emp Approaching OT) has Control Center mapping configured to display in the Timekeeping category. All other notifications appear by default in the System Messages category but can be configured with control center notification mapping.
The following system settings can be used to set the amounts of time for proactive compliance alerts:
- global.totalizer.proactiveProjectionTimeInSeconds — Defines the amount of time the system searches ahead for another event (after ‘wakeup’).
- global.totalizer.proactiveWakeupInSeconds — Defines the amount of time after an expected scheduled event that the relevant alert is generated.
