Percent Allocation Rules
Use Percent Allocation rules to allocate employee time based on a selection criterion (paycode A category of time or money that employees earn, for example, Regular Hours, Bonus, or Sick., job, cost center, or labor category). The rules are based on a predefined percentage distribution.
For Example: an employee’s daily time is allocated evenly between two labor categories. The employee works 8 hours. The system allocates 4 hours for each labor category on that day. On the following day, the employee works 10 hours. If overtime is also allocated in the rule, the system allocates 5 hours in each labor category. If overtime is not included in the rule, the system allocates 4 hours for each labor category and 2 hours for overtime.
- The wage amounts that are specified in Percent Allocation rules override both the Base Wage and Wage Profile amounts.
- If the system setting site.timekeeping.DateToEnableOverrideWagesForAdjustments is enabled and the employee has a wage override in effect, then the wage override is used as the wage to modify instead of the base wage.
- If the employee has a Percent Allocation rule that includes an override to wages as well as an Adjustment rule that also applies, the Adjustment rule overrides the Percent Allocation wage change.
- If you do not select one or more paycodes or a job, only the labor category triggers the allocation.
- Only hours that are in a paycode are split among multiple labor categories, if the paycode is a trigger.
- Overtime hours are not distributed among multiple labor categories.
- During setup, if Stored scheduled and projected totals in the database is selected for a pay rule, the scheduled and projected totals are also split when they meet the conditions of the percent allocation rule.
- Assign Percent Allocation rules to employees in People Information (Timekeeping > Timekeeper > Percent Allocation Rule table).
Use the Percent Allocation Rules page (Administration > Application Setup > Pay Policies > Percent Allocation Rules) and the following information to set up Percent Allocation Rules.
- Version Effective Date — The effective date specifies when a rule can be used. If the job is active when the effective date is in effect, changing the job to inactive does not change the effective date.
- Triggers — Criteria for processing when certain conditions have been met and must be calculated into the totals. You can select from triggers that have been predefined or create new triggers.
- Note: The evaluation process for triggers depends on the system setting site.timekeeping.percentAllocationStopCascadeAfterTriggerMatchFound. The default value is false (all triggers are evaluated). When set to true then the first matching trigger is used and evaluation completes.
- Enter or modify the name and description.
- Use the default Version Effective Dates or select a new date.
- Click Add Trigger to add or modify one or more triggers in the Trigger Editor.
- Click Save or Save & Return.
The trigger signals that an employee’s worked time is allocated among multiple jobs or labor categories. The total of all allocations must equal 100%.
There must be a newly created or existing percent allocation rule. Use the following information to configure triggers.
- Job/Location — The job/location to which this rule applies.
- Labor Category Entries — The labor category that triggers the associated percent allocation rule.
- Cost Center — The cost center that triggers the associated percent allocation rule.
- Paycodes — One or more paycodes that trigger allocated time.
If there are no paycodes, the trigger is the labor category. If there are paycodes, the wage is allocated across the labor category, according to the paycodes.
Complete one or more of the following:
- Job/Location — Click Job Lookup
- Apply to any business structure that uses this job/location — Select this check box to use the same trigger for any business structure that uses the same location or job. Selecting this check box reduces the number of triggers required when the same behavior is shared among multiple jobs or locations. The location type must be the same and is based on the lowest location type specified.
- You can override these triggers by creating separate triggers that point to a specific job /location.
- Labor Category Entries
- Enter a labor category in one of the following ways:
- Type the full labor category in the text box.
- Click Labor Category Entries Lookup
. (You can also search for labor category entries using wildcards.) The name and description of each labor category appear next to the Labor Category. - You can enter multiple labor category entries and use wildcard strings for labor category entries. In a wildcard string use an asterisk (*) to match any number or character, a question mark (?) to match exactly one character one time, or use a combination of these. For example:
- NYC* will return any entry that begins with NYC, such as NYC 1010.600, NYC 1850.100, and so on.
- N?C will not return NYYC 2050.100.
- *H?P* (combination of wildcards) will return ‘Shipping Goods’ but not ‘Sheet Bending’.
- Specify multiple entries that are part of the same Labor Category with a semi-colon, for example:
- ,,Second Shift;Third Shift,Restaurant,,
- To combine multiple entries from different Labor Categories, use quotation marks separated by a comma. For example:
- ",,Second Shift,Restaurant,,",",,Third Shift,Guest Rooms,,"
- The Selected Labor Categories Entries area at the bottom of the window displays the complete labor category entry. When the labor category entry is correct, click OK.
- Cost Centers — Select the cost center from the drop-down list.
- Pay Codes — Select a paycode that triggers the adjustment rule from the Available Paycodes box and move it to the Selected box. If you do not select one or more paycodes, the trigger is the labor category and job. If you select one or more paycodes, wage adjustments and bonuses are applied based on the qualified time.
Note: The Apply to any business structure that uses this job/location option is available when you are using a hierarchical Business Structure Represents the logical structure of an organization as it concerns staffing. It contains the locations and jobs to which an employee may be assigned.. If you are using a simplified Business Structure, this option is not available.
In the Allocation area, provide the following information and click Save or Save & Return when finished. The allocations must total 100%.
