Jobs
Jobs are roles that have a fixed responsibility, such as registered nurse, associate, or welder.
- Click Main Menu
- Select Manage
> Jobs. - Click Add
- On the New Job panel, enter or select the following information:
- Job Title — The full name of the job. If jobs have been imported from another system, the job titles are populated in this field.
- Job Name — The display name (usually an abbreviation, for example RN for registered nurse). This field is required. To display the organizational job paths as effectively as possible, select a display name with no more than 3 to 5 characters. The name must be unique between the job's effective date and expiration date.
- Description — The job description.
- Job Code — The code for the job; for example, RN1, RN2, RN3. If jobs have been imported from another system, the job codes are populated.
- Sort order — Controls the order in which jobs appear; for example in People Information and in scheduling windows.
- You can use numeric (the default) or alphanumeric sort order, depending on the Business Structure job sort order system setting. By default, sort order is required and the sort order value must be unique, but these requirements can both be modified in the system settings.
- For sort order, note the following:
- Alphanumeric sort order is not case-sensitive.
- The maximum character limit is 20.
- Special characters Special characters are characters that are neither alphabetic nor numeric. These characters may not be allowed in text because they have programmatic uses. Other terms for special characters include reserved characters, restricted characters, forbidden characters, excluded characters, included characters. are not allowed.
- You will receive an error if you enter a sort order value that does not comply with the system setting. For example, if the system setting specifies the sort order value as numeric and you enter the value A102, you will receive an error.
- For numeric sort order, a recommended practice is to create sort order incrementally by 10 or 100 to allow for future growth or changes to the jobs list.
- If sort order is not required and not specified, then the job will be listed alphanumerically after all sorted jobs.
- Color — In the Change Job Color panel, select a predefined display color for the job. You can select a color from the list provided or you can enter the hex code for another color. When finished, click Apply.
- Note: If you do not define a color, the default colors are used: purple for regular jobs and blue for transfers. If you define a job color for a lower-level job, the job color overrides the default job color.
- Effective dates — Select an Effective Date and an Expiration Date. Both are required. Beginning of time and Forever are selected by default. To enter different dates, deselect Beginning of time and Forever, then select a date using the calendar.
- Click Save.
You can assign one or more jobs to a location. You must have added, or created, the job before you can assign it to a location.
- Click Main Menu
> Administration > Application Setup > Business Structure Setup > Jobs and Business Structure. - Select Manage
> Jobs. - Select a location from the table, then click Assign Jobs
- Select a generic job from the Available generic jobs drop-down list.
- In Job basics, enter a description.
- In Work Allocations, enter the following:
- Direct Work Allocation — The percentage of direct hours for the specified job.
- Indirect Work Allocation — The percentage of indirect hours for the specified job.
- If percentage numbers are not entered, the job defaults to 100%. Jobs can be assigned with different percentages in different locations. Direct and indirect work allocations must total 100.
- In Effective dates, select an effective date and an expiration date. Both are required. The location effective date and expiration date are assigned by default. To enter different dates, deselect Use location start date and Use location end date, then select a date using the calendar.
- Click Assign. If you need to add more jobs to the location, click Add More.
- Click Main Menu
> Administration > Application Setup > Business Structure Setup > Jobs and Business Structure. - Select Manage
> Jobs. - Select a job from the table, and click Update
- Make the necessary changes in the Edit Job panel, then click Save.
Note: You can also edit a job from the Manage > Locations page. When editing a job from the Locations page, you can view and edit the external ID for the job if the feature switch for this option (DisplayBusinessStructureExternalId) is enabled. See Feature Switch.
You can edit the attributes of a job with or without effective dating. When you make an update using effective dating a revision is created. If you do not want a revision made, meaning you do not want the job to exist after the expiration date, then select the Last revision check box. The Forever check box must be deselected to view this option. See Revisions for more information.
Gaps in a generic job's effective dates are not allowed if the job is assigned to a location.
Note: If updates are made in the past and the job was used in the past, then the history for that job will change. For example, if you update the name of a job and change the effective date from January 1, 2020 to the Beginning of time, the history of the date the job name was made will not be retained as it will now be effective from the beginning of time.
- Click Main Menu
> Administration > Application Setup > Business Structure Setup > Jobs and Business Structure. - Select Manage
> Jobs. - Select a job from the table, and click Delete
Note: You cannot delete a job that is assigned to a location.
- Click Main Menu
> Administration > Application Setup > Business Structure Setup > Jobs and Business Structure. - Select Manage
> Jobs. - Select a location from the table, and then click Assign Jobs
- Select a job in the Currently assigned jobs list, and then click Unassign job
. - The job is removed from the assigned list. It is not deleted from the job list.
