Leave profiles
Leave Profiles are the collection of allowed Leave Categories and associated Leave Types, Leave Rules, Eligibility Requirements and Configurable Fields. Leave Profiles are assigned to licensed employees.
Note: Leave Reasons are not a part of Leave Profiles. All Leave Reasons are available to all employees.
Use the Leave Profiles page to view and manage the leave profiles in the system. You can add, duplicate, edit, activate, inactivate, and delete leave profiles.

Select Administration > Application Setup > Leave Setup > Leave profiles.
- Enter a Leave Profile Name.
- (Optional) Enter a Description.
- On the Leave Categories tab, in the Available Leave Categories list, select one or more leave categories and move them to the Selected Leave Categories list.
- On the Leave Types tab, select paid and tracking leave types for each leave category in the leave profile that you are creating. In The Available Leave Types lists, select one or more leave types and then move them to the Selected Leave Types list.
- On the Eligibility Requirements tab assign eligibility requirements for all paid and tracking leave types for each leave category in a leave profile.
Select eligibility requirements for each paid and tracking leave type for each category.
- Click a leave category.
- For each leave type, select a requirement.
Note: You do not have to designate an eligibility requirement for every leave type. If you do not select an eligibility requirement for a leave type, then any employee who has that leave type in their profile is eligible for that leave type if it is associated with the leave reason selected for their leave case.
You can assign the same eligibility requirement to multiple leave types within a leave category.
- On the Leave Rules tab, assign leave rules to a leave category within a leave profile.
- Select a Category.
- In The Available Leave Rules list, select one or more leave rules and then move them to the Selected Leave Rules list.
- On the Configurable Fields tab, select configurable fields for the leave profile.
Note: The fields appear in the same order as they were entered in setup.
- Select a category.
- In The Available Fields list, select one or more fields and then move them to the Selected Fields list.
- Click Save or Save & Return.
Activate a leave profile to make it available for use. New leave profiles are automatically assigned a status of Active.
Note: You cannot associate an inactive leave profile with a person in People Information. If you inactivate a leave profile that is already associated with a person, the leave profile continues to work for any existing leave cases that the person has.
- Navigate to Administration > Application Setup > Leave Setup > Leave profiles.
- Select the check box to the left of the leave profile that you want to activate or inactivate. You can select multiple leave profiles to activate or inactivate.
- Select Activate or Inactivate.
Note: You cannot delete a leave profile that has been associated with a person. Instead, mark the leave profile inactive.
- Navigate to Administration > Application Setup > Leave Setup > Leave profiles.
- Select the check box to the left of the leave profile that you want to delete. You can select multiple leave profiles to delete.
- Select Delete. A confirmation box appears.
Use the Eligibility Requirements tab in the Leave Profile Editor to assign eligibility requirements for leave types that are associated with the on-demand leave category in an on-demand leave profile.
- Navigate to Administration > Application Setup > Leave Setup > Leave profiles.
- Select a Leave Profile and select Edit.
- Select the Eligibility Requirements tab.
- Select eligibility requirements for each paid and tracking leave type for each category:
- In the Leave Category column, click the on-demand leave category.
- For each leave type, select an eligibility requirement.
You do not have to designate an eligibility requirement for every leave type. If you do not select an eligibility requirement for a leave type, any employee who has that leave type in their profile is eligible for that leave type if it is associated with the leave reason that is selected for their leave case.
You can assign the same eligibility requirement to multiple leave types within a leave category. - Click Save or Save & Return.
