Define Teams
Define teams to optimise guided recommendations Recommends to managers whether to approve or reject requests. The recommendations are based on coverage and accruals balances. for your organisation and balance time-off requests Request subtypes that employees use to request time off for vacation, illness or recovery, appointments, personal time, or other absences. Time-off requests can be configured to support many different employment scenarios. with coverage needs and accruals balances.
Guided recommendations present information to help manage time-off requests, and recommend whether to approve or refuse requests.
- Click Tap Main Menu
. Select Maintenance > Team Definitions. - Do one of the following:
- Click Tap Add a Team
. Enter a Team Name. - Select one team. Click Tap Edit
. - Select teams.. Click Tap Delete
. Click Tap Yes to confirm.
- Click Tap Add a Team
- (Optional) Enter a Description.
- Select a Start Date and End Date.
Important: For a new team definition, the dates cannot be before today's date. For an edit of an existing team definition, you can set the dates to be in the past to inactivate that team definition.
- Click Tap the calendar
. - Select dates.
- Click Tap the calendar
- In Employees in this team, select one of the following:
- Hyperfind A search engine that filters and selects groups of employees through queries that specify conditions or locations (criteria). > Select the Hyperfind query.
- Reports to Manager > Select the manager of the employees.
- Schedule Group Assembles employees who share schedules or any other work characteristics. > Select the schedule group.
- Click Tap Apply.

Show the members
- Select the Team Members tab.
- Click Tap the column header or down arrow to change the sort order.

Set the daily limit of absences
- Select the Team Absence Quota tab.
- For each day, enter the maximum number of employees who can be absent.
- Click Tap Save

Set the recommendation settings
- Select the Recommendations tab.
- In Days with Team Absences at or above the Daily Quota, enter the percentage of a date range of time off that can be ignored. These days have a number of time-off requests that is greater than or equal to the daily quota.
Example: Set the percentage to 20. If an employee asks for 5 continuous days off, and one of those days (=20%) is above the daily quota, the recommendation is to approve the request. If two of those days (=40%) are above the quota, the recommendation is to refuse the request.
- Select Auto Approval to automatically approve requests only if approval is recommended.
Important: If Automatic Approval is selected in the request subtype Classifications of schedule requests from employees., that setting overrides Auto Approval in the Team Definition. For recommendations to automatically approve requests, select Auto Approval in the Team Definition recommendation and unselect Automatic Approval in the request subtype setup.
- Click Tap Save
