Initial Employee Time Profile Load

The Initial Employee Time Profile Load must be completed prior to starting User Acceptance Testing (UAT).

Prepare the Employee Time Profile Import

When UKG Pro and UKG Dimensions are configured and ready for the initial import of employees to UKG Dimensions, the “EE Time Profile” file must be prepared. 

 

Start by emailing the assigned UKG Pro Consultant requesting the creation of the EE Time Profile file.  They will save the file to Launch and notify the Project Manager to alert the UKG Dimensions Consultant to initiate the EE Time Profile Utility and work with customer to populate required fields. 

 

Once populated the UKG Dimensions Consultant will save the populated file to Launch and notify the UKG Pro Consultant to import the values.  The detailed steps are listed below. 

 

Important: If you have not previously entered a request for the Center of Excellence (COE) team to enable the UKG Pro Connect integrations via the request linked here, Workforce/Pro Connection Request, do so now.

Generate the EETimeProfileAssignment file (UKG Pro Consultant)

  1. Select this link to access the SQL script used to generate the EE list:

  2. Execute sql_WFD_eeTimeProfile_Script with Blanks

  3. Save the results and save the file as: Clientname_EETimeProfileAssignment

  4. Load the file to Launch.

  5. Notify the UKG Dimensions Consultant via email.

Create the UltiPeopleImportFields Workbook (UKG Dimensions Consultant)

  1. Download the UKGProProfileTemplateToolsV1.zip using this link and extract to your local system. Link to file on Solution Exchange

  2. Open the HTML file and drag the Get Profile Templates link into the browser’s favorites or bookmark bar. Make a note of the browser’s default download folder and modify, if necessary.

  3. Log in to UKG Dimensions, and while in the UKG Dimensions browser tab, select Get Profile Templates.

  4. Open Engineering-provided Excel file (ultiPeopleImportfields.xlsm)

  5. In the Driver sheet, select on Cleanup.  This will remove data from all tabs.

  6. In the Engineering-provided Excel file, in the Driver sheet, select Import Profiles Data.  This will populate each workbook with the corresponding values (for example, Profile name and Persistent IDs).

  7. Open the Employee Master File (downloaded from Launch).

  8. Copy columns A through S and AY-BJ from the Employee Master File to the same columns in the ultiPeopleImportfields sheet of the Engineering-provided Excel file.

  9. Work with the Customer to populate the required fields.

  10. Populate the Effective Date (Column T) with a day prior to the payroll parallel date.

 

After the UKG Dimensions Consultant has completed their sessions with the customer and all required fields are populated for all employees, save the file. 

 

Then copy the file but only save with a subset of employee records to be loaded with the Access set to Y to be used to test your People Import iPack before doing a full load.

Send a Partial Employee Time Profile File (UKG Dimensions Consultant)

Send PARTIAL EE Time Profile with a subset of employees to Launch and notify via email.

  1. Transmit only a small number of employees

  2. Use the file naming convention as: Client Name_Partial_EEwithAssignedProfiles

  3. Save as a .CSV file.

  4. Save the file to Launch.

Create Web Import Tool Mapping & Import EE Subset (UKG Pro Consultant)

Important: DO NOT use the UI (Workforce Management Page) to add HCM Profiles/direct assignments.

 

  1. Select this link to access the Web Import Tool Template: https://ultimatesoftware.my.salesforce.com/sfc/#version?selectedDocumentId=0690d0000084yqM

  2. Create the Web Import Tool mapping by importing the .CFG file into the Web Import Tool.

  3. Validate the mapping and activate the import mapping.

  4. Save the file as a .CSV file

  5. Import the populated file previously provided by Dimensions.  

Monitor the results in the Web Import Tool.  Test the Employee WFM page to confirm success.

After validation of the initial subset of employees take the following steps.

Review initial EE Sync to UKG Dimensions (UKG Dimensions Consultant)

  1. Login into Dimensions Tenant and verify the employee file under Manage SFTP.  The file should be listed with the following format:

    Ulti_people_Import_yyyy_mm_dd_todaysdateandtime.csv

  2. Select download and view the file for accuracy.

  3. Once confirmed, navigate to the integration page and run the person import iPack.

  4. View results. If there are errors, work with the customer to resolve.

Load Complete Time Profile Assignments File (UKG Pro Consultant)    

  1. Import the file provided into the WFD Web Import.          

  2. Monitor the results in the Web Import Tool.

  3. Spot check the assignments in the employee Workforce Management page to confirm success.

Send the Full Employee Time Profile File (UKG Dimensions Consultant)

Send the full EE Time Profile to Launch and notify via email.

  • Remove the employees that you previously transmitted to avoid errors when importing into UKG Pro.

  • If you must send a full file, have the PRO consultant delete the existing entries.

Important: Do not use the Web Import Tool to overwrite existing EE Time Profile Assignments.
