Create a Dataview

Note: Employee Time Series Dataviews A configurable tool for analysing data and taking actions on a group of employees or an organisation. are not supported in North America at this time.

Administrators create Dataviews and set their default values, including items such as time period, subject category, and column selection. They also define the set of columns that display by default when the Dataview is accessed and the set of columns that are available, but not displayed by default.

The administrator can specify the following default settings for the Dataview:

  • You can select one of the following Dataview types: Employee View, Business Structure Represents the logical structure of an organization as it concerns staffing. It contains a hierarchy of locations that contain jobs to which an employee may be assigned. View, Employee Time Series View, Business Structure Time Series View, to create a Dataview.
    1. Go to Administration > Application Setup > Display Preferences > Information Access > Dataview Management, click Add , and then select Employee View.
    2. Type a name for the Dataview Key. This key is a unique identifier for the dataview and cannot be seen by the end user unless you do not enter a Label name. You cannot edit the key after you save this page. Use the optional Label text box to provide a user-facing name for the dataview. You can edit the label at any point.
    3. (Optional) Type a Description.
    4. (Optional) Type a Label to appear as the Dataview name in the Dataview Library. This is recommended. You can edit the name at any time. If you do not enter a label, the dataview name will default to the Key name.
    5. Select a Timeframe that represents the period of time for the particular data that is being displayed.
    6. Select how to view the data. Only one method can be selected at a time.
      • ClickTap Location to select the query you would like to use to view organization-based data.
    7. Select a Category for the Dataview to appear under in the Dataview Library, for example, Timekeeping or Scheduling.
    8. Select an option from Currency Displayed As to control how the currency is displayed in the Dataview. The selections are Logged-in User, which is the logged-in user's preferred currency (default) or Employee Assigned, which is the employee's assigned currency.
    9. To insure that your column selections are compatible, the Column Relationship Rules defaults to Yes. If you prefer to choose columns that are outside the rules, clear the check box.

    5. Select the Timeframe of interest for the particular data that is being displayed.
    6. Select the Location to use. The default Location is All Home, which finds all the active people in your organization in the specified timeframe.
    7. Select the Location type, for example Department, which is based on the Location that you selected. The location type that you select is key to what you can view because it defines the granularity of the data by that location level. When you pick the Location Type, the list of columns that you can select automatically changes.
    8. Select the Category under which the Dataview appears in the Dataview Library, for example, Timekeeping or Scheduling.
    9. Select an option from Currency Displayed As to control how the currency is displayed in the Dataview. The selections are Logged-in User, which is the logged-in user's preferred currency (default) or Location Assigned, which is the Location's assigned currency.
    10. To insure that your column selections are compatible, the Column Relationship Rules defaults to Yes. If you prefer to choose columns that are outside the rules, clear the check box.

    Note: Time Series Dataviews only can be used with the Analytics metrics Measures and tracks workforce performance by comparing planned with actual workload or coverage, or by showing variances at any organizational level. and KPIs (data columns in the Analytics entity).

    5. Select the Timeframe of interest for the particular data that is being displayed. These symbolic time periods, such as Last 4 Weeks, make it easy to select common time periods where the time increments are equivalent (for example,. each week has 7 days, starting on Monday).
    6. Select the Location to use. The default Location is All Home, which finds all the active people in your organization in the specified timeframe.
    7. Select the Category under which the Dataview appears in the Dataview Library, for example, Timekeeping or Scheduling.
    8. Select Time Increment to summarize data from a time perspective Choose from Calendar Day, Calendar Week, Calendar Month and Calendar Quarter.
    9. Select Time Increment Format, which is based on the Time Increment selection. Depending on your selection, choose one of the following formats:
      • Calendar Day: Date, Day of Week, Day of Week and Date
      • Calendar Month: Date Range, Month and Date Range, Month Name, Month Short Name
      • Calendar Quarter: Date Range, Quarter Number, Quarter Number and Date Range, Quarter Short Number, Quarter Short Number and Date Range
      • Calendar Week: Date Range, Week Number, Week Number and Date Range
      • Note:

        The calendar week has two settings for the start day of calendar week:

        • Monday to Sunday
        • Sunday to Saturday

        The setting differs according to whether the customer is existing or new.

        • Existing customers are set to Monday to Sunday for the start day of the calendar week. The setting can be manually changed by the administrator to Sunday to Saturday.
        • New customers default to Sunday to Saturday for the start day of the calendar week. The setting can be manually changed by the administrator to Monday to Sunday.

        To set the calendar week:

        1. Go to the Main Menu > System Settings > Global Values.
        2. Scroll to global.analytics.timeseries.calendarWeek.startDayofWeek and select the calendar week you want to use.
    10. Select an option from Currency Displayed As to control how the currency is displayed in the Dataview. The selections are Logged-in User, which is the logged-in user's preferred currency (default) or Employee Assigned, which is the Location's assigned currency.
    11. To insure that your column selections are compatible, the Column Relationship Rules defaults to Enabled. If you prefer to choose columns that are outside the rules, clear the check box.

      12. Note: Time Series Dataviews are based on the ISO 8601 standard calendar. The week starts on Monday and runs through Sunday and can cross month boundaries. However, the calendar week definition can be changed to support a week that starts on Sunday and runs through Saturday, as described above.

    Note: Time Series Dataviews only use the Analytics metrics and KPIs (data columns in the Analytics entity). Conditional KPIs cannot be used in Time Series Dataviews..

      • Calendar Month: Date Range, Month and Date Range, Month Name, Month Short Name
      • Calendar Quarter: Date Range, Quarter Number, Quarter Number and Date Range, Quarter Short Number, Quarter Short Number and Date Range
      • Calendar Week: Date Range, Week Number, Week Number and Date Range.
      • Note:

    Note:

    Time Series Dataviews are based on the ISO 8601 standard calendar. The week can cross month boundaries.

    Administrators can create charts as part of a Dataview and add them to a Home page The page that is presented to the user upon login, which contains the tiles that let the user access or navigate to common tasks. for specific end-users. By doing so, the administrator tailors the experience for the end-users in a way that makes sense for their role in the organization.

    Note: To control the employee Home page, disable their Home page personalization and assign the administrator-created charts to the Home page.

    To add a chart to the Dataview:

    1. After you fill in the fields to create a Dataview, or when you edit a Dataview, scroll to the bottom of the page to the Charts section.
    2. ClickTap Add to create a new chart. The Create Chart panel opens.

    3. Select a Chart Type:

      • Vertical Bar
      • Horizontal Bar
      • Line
      • Pie
    4. Select a Category, for example, Name, ID, or Location.
    5. Select a Metric, for example, Daily Hours or Wage Rate.
    6. For Employee and Business Structure Dataviews, you can use the Count and Unique Count options to chart String, ENUM, Boolean, Date, Time, and Datetime data column values.
      • Count includes each instance of the selected category even if it occurs multiple times for an employee.
      • Unique Count includes each employee once for the selected category.
    7. The Count and Unique Count metric options are always at the bottom of the selection list. When a dataview has one row per employee, Count and Unique Count return the same value.
    8. Select an operator for Values Calculation. The Values Calculation defaults to whatever value is set in the Dataview itself. So, if Avg aggregation is applied to the Accrued Vacation Hours column, Avg appears in this field. You can select another value.

    9. Note: Values Calculation is disabled when Count or Unique Count is selected for Metric.

    10. ClickTap Yes under Limit Data? to keep the view to a subset of values in which you are most interested. For example, you can view the top 5 values for the largest amount of vacation time. Use the following settings as delimiters:
      1. Range - Select the Top or Bottom values to view, for example, the top or bottom five values by hourly rate.
      2. Number of values - Select the number of values to view

      3. If you check Group remaining values as “Other”, all values outside the limit are consolidated and are plotted as one value, labeled “Other.”

    11. Set Display Options:

      1. To hide the display options, such as the chart title, set the switch to Off.

      2. To display the options, set the switch to On. The options are based on the context of the chart. The following options are a sample of what is available to display in the chart:

        • Chart title (defaults to the selected category and metric)
        • Category title
        • Metric title
        • Category labels
        • Data labels - (Pie chart only) Depending on the context of chart, you might select Percent (%), Value, or Both to see these labels in the chart.
        • Colors - Select the drop-down arrow to choose from one of four color themes.
    1. Assign the new Dataview with charts to a Home page. You can do this by adding a Dataview Profile to a new or existing Home page in Home Page Management.
    2. After the Dataview Profile has been assigned in Home Page Management, assign the chart to the Home page by selecting it from the Tile A container that provides navigation or action from its summary view. selection box. The chart name is provided with the name of the Dataview it is associated with in parenthesis.

    Note: Both the Dataview and Home page profiles must be assigned to the employee's Display Profile.

    1. Select the Dataview that you want to delete.
    2. ClickTap Delete .
    3. Admin can delete personalized Dataviews - verify.

    Note: If a Dataview is associated with one or more Dataview profiles, it cannot be deleted. If you try to delete it, an error message alerts you that "One or more of the items you have selected are in use and could not be deleted."
