Assign roles to people

Roles control the ability of users to interact with the product functionality in the packages for which they have been assigned a license.

Users must be assigned at least one of the following roles to be able to interact with the product:

  • Employee — Users assigned the Employee role can perform all employee functions available in the products for which they hold a license. For example, if a user who is assigned the Employee role has an Hourly Timekeeping license, he or she can use all employee time entry and reporting functions (for example, record a punch).
  • Manager — Users assigned the role can perform all manager functions available in the products for which they hold a license. For example, if a user who is assigned the Manager role has an Hourly Timekeeper license, he or she can use all manager time entry and reporting functions (for example, record a punch for an employee whom he or she manages). Managers can be assigned multiple roles. For more information, see Manager Role-Assignments.

To assign one or more roles to users click tap Edit Licenses . The Edit Licenses panel displays. Select the radio button for each role you intend to assign to the user.

Click Tap Apply to commit your assignments or Cancel to dispense with them.

Note:
  • Users who are not assigned either role cannot use any product functionality, even if they are assigned a license for a package that contains that product. Although they will be able to punch in and out at a clock, they cannot access QuickGlances.
  • For employees to be able to access all of the features of a clock including QuickGlances, they must be assigned the Employee role, Manager role, or both. The Clock Only User check box is available to be selected for such users.
  • Users who are given the Manager role but are not assigned a Timekeeping package license can configure the tenant, but cannot use product functionality. For example, they must be assigned a Timekeeping license to access their employees' timecards, even if they do not use a timecard themselves.
